Job summary

El Capitan Canyon is seeking a Sales Coordinator in Goleta, CA, reporting to the Sales Director to handle group inquiries, proposals and contracts. You will coordinate lodging, meeting space and resort activities, while ensuring high‑level service across departments and clients.

The role requires strong administrative skills, proficiency in MS Office and Delphi, and a collaborative, client‑facing approach in a luxury resort setting.

Qualifications

• 1+ year of direct, related administrative experience; luxury hotel sales, marketing and/or hotel operations experience is preferred.
• Strong administrative skills including accurate filing, proofreading and editing documents, managing multiple telephone calls, faxing, mailing, emailing and ability to create various business documents.
• Typing speed of at least 50 words per minute.
• Effective communication with all levels of team members and guests in a courteous, service-oriented manner.
• Proficiency in MS Office; Delphi experience favored.
• Maintain regular attendance per resort standards.
• Maintain professional appearance and grooming.
• Excellent multi-tasking in a fast-paced environment.

Responsibilities

• Answer phones and direct leads or inquiries to appropriate managers.
• Assist in preparing and confirming client proposals and contracts.
• Perform daily/weekly reporting duties using resort systems (Delphi preferred).
• Prepare event documentation and coordinate with sales, resort departments and customers.
• Identify revenue opportunities through upselling and enhancements.
• Meet and greet onsite contacts.
• Act as liaison between sales and customers during the event process.
• Conduct site inspections with clients highlighting key features.
• Coordinate banquet and meeting space for assigned groups.
• Maintain interdepartmental communication on behalf of Group Sales Team.
• Assist sales staff in promoting the resort and securing re-bookings.
• Use the sales management system to manage bookings, space blocking and accounts.
• Perform other duties as assigned.
