Job summary

El Capitan Canyon Resort, located north of Santa Barbara, seeks a Sales Coordinator to join the group sales team. You will support Sales Directors with inquiries, proposals, and contracts, and coordinate lodging, meeting space, and activities for school, adventure, corporate, and wedding groups.

Reporting to the Sales Director, you will manage records in Delphi, generate reports, and help maximize revenue by upselling while delivering high-level, personalized service to clients and guests.

Qualifications

• 1+ year of direct, related administrative experience; luxury hotel sales/marketing experience preferred.
• Strong administrative skills including filing, proofreading, editing documents, handling calls, and creating business documents.
• Typing skills of at least 50 words per minute.
• Ability to communicate effectively with all levels of staff and guests in a friendly, service-oriented manner.
• Proficient in MS Office (Word, PowerPoint, Excel); Delphi experience preferred.

Responsibilities

• Answer phones and direct inquiries to appropriate managers.
• Assist in preparation and confirmation of client proposals and contracts.
• Produce daily/weekly reports using resort systems, with Delphi familiarity.
• Prepare event documents and coordinate with sales, resort departments, and customers to ensure high-quality service.
• Identify revenue opportunities through upselling and enhancements.
• Meet and greet onsite contacts and act as liaison between sales and customers throughout the event process.
• Conduct professional site inspections with clients, highlighting features and benefits of the property.
• Coordinate banquet and meeting space for assigned groups.
• Maintain clear communication among departments on behalf of the Group Sales Team.
• Assist sales staff in promoting the resort, developing leads and securing re-bookings.
