Join to apply for the Logistics Coordinator/Administrative Assistant role at SWCA Environmental Consultants

SWCA Environmental Consultants is expanding our team and looking for a Logistics Coordinator/Administrative Assistant to support the Chokecherry/Sierra Madre Wind Farm (CCSM) and Transwest Express transmission line (TWE) projects located in Rawlins, Wyoming. The ideal candidate is a proactive, organized problem solver with strong communication skills, dedicated to supporting a diverse team of technical specialists for smooth and efficient operations.

This position requires the ability to work both independently and collaboratively with all team members. The individual will have high attention to detail, be able to prioritize, multi-task, and possess strong time management skills. The ideal candidate will clearly communicate and provide support for employees while also being able to negotiate assertively with vendors.

This is a half-time, hourly position estimated at 20 hours/week (with some variability to be discussed and approved as needed). The role will be based out of the Sheridan, Wyoming office as a remote employee and involve working with our Program Director, project managers, and field staff. We strongly prefer that the individual live within 2 hours of Rawlins, WY.

What You Will Accomplish

This person will be responsible for providing logistics and administrative support activities including travel and field work logistics coordination, fleet management, field house management, inventorying and purchasing supplies, technology asset management, tracking expenditures, document production, organizing project records, and supporting project logistics with managers and directors.

They will also support the SWCA Safety Team by managing health and safety compliance tasks, organizing safety records, coordinating safety trainings, and managing safety supplies and equipment.

Logistics Coordination
  • Manage program and project logistics, coordinate with project managers, assist with schedules, arrange travel and equipment, and support expense reporting.
  • Build relationships with leads and directors to plan and schedule staff efficiently.
  • Manage health and safety compliance, including training scheduling and reporting.
  • Oversee inventory and maintenance of safety and data equipment, manage safety gear, and coordinate vehicle fleet maintenance.
Administrative Responsibilities
  • Handle office supplies, mail, errands, document production, and meeting coordination.
  • Assist with onboarding new employees and coordinate office expenses and credit card reconciliation.
Experience and Qualifications for Success

Required

  • Five (5) years of experience in a similar role.
  • Valid driver’s license and ability to operate multiple vehicle types.
  • Proficiency with MS Office applications.
  • Experience with technology asset inventory and management.
  • Ability to negotiate rates and manage relationships with vendors.
  • Ability to run errands with minimal notice.
  • Experience with scheduling and meeting coordination.

Preferred Qualifications

  • College coursework or degree in business, administration, or related fields.
  • Experience in environmental consulting, engineering, or construction.
  • Experience with Adobe Acrobat, Deltek Vision, SharePoint, and budget tracking.
