This role combines independent production with coordination across larger programs, reporting to Staffing Program Manager.

Job Summary

We are seeking a Live Event Producer & Production Coordinator to join our live production team supporting a portfolio of in-person, broadcast, virtual, and hybrid experiences.

This role combines independent live event production with production coordination across larger programs. The right candidate will own assigned recurring and mid-scale live productions from initial planning through execution and wrap, while also partnering with Senior Producers and Executive Producers to support larger and more complex events.

This person should be highly organized, comfortable working in a fast-moving live production environment, and capable of moving between leading their own show and supporting another producer's project. They should understand live event and broadcast production, communicate effectively with stakeholders and technical teams, and take ownership of the details required to keep a production moving.

This is a hands-on production role for an experienced producer who can independently own productions while continuing to expand their experience across larger-scale programs.

What Success Looks Like

A successful person in this role can be trusted to independently own a recurring live program while also making the producers around them more effective. They keep production details organized, anticipate what is needed next, communicate clearly, close loops, and elevate issues before they become problems.

Over time, they should be able to take on increasingly complex productions and larger areas of ownership while maintaining strong production fundamentals, attention to detail, and consistency.

Essential Functions
Live Event Production
  • Independently produce assigned live events, broadcasts, recurring programs, and other live experiences from pre-production through onsite execution and post-production wrap.
  • Serve as the primary production point of contact for assigned programs, partnering with stakeholders, content teams, technical teams, and vendors.
  • Develop and maintain production plans, timelines, run of show documents, rehearsal schedules, call sheets, production schedules, and other show documentation.
  • Lead production meetings, technical discussions, rehearsals, speaker preparation, tech checks, and show-day execution for assigned programs.
  • Coordinate with Technical Directors, show callers, stage managers, broadcast engineers, streaming teams, AV partners, and other production personnel.
  • Manage production logistics including crew coordination, equipment needs, talent logistics, travel, credentials, production spaces, and onsite requirements.
  • Track project milestones, deliverables, risks, dependencies, and outstanding decisions throughout the production lifecycle.
  • Build, track, and reconcile production budgets, including vendor estimates, purchase orders, invoices, and final project reconciliation.
  • Ensure productions follow established brand standards, production workflows, safety requirements, rights and releases, and technical best practices.
  • Participate in post-production reviews, document learnings, and ensure project files and assets are properly archived.
Production Coordination & Team Support
  • Partner with Senior Producers and Executive Producers on larger-scale events and broadcasts, providing production management and coordination throughout the project lifecycle.
  • Own defined workstreams within larger productions, taking responsibility for deliverables and follow-through rather than providing administrative support alone.
  • Build and maintain master production schedules, project trackers, action-item lists, staffing plans, production calendars, and other project documentation.
  • Coordinate project meetings, capture decisions and action items, and proactively follow up with owners to keep projects on schedule.
  • Support vendor onboarding, estimates, contracts, purchase orders, invoicing, travel, credentials, crew logistics, and other production operations.
  • Coordinate production assets and information across creative, technical, broadcast, event, post-production, and stakeholder teams.
  • Maintain accurate information within production management systems and ensure project documentation remains current and accessible.
  • Assist producers with onsite production operations including rehearsals, backstage coordination, talent movement, technical checks, production office management, and show execution.
  • Identify missing information, schedule risks, and production dependencies early and work with the appropriate producer or production lead to resolve them.
  • Provide additional production support across the team's portfolio as priorities and production schedules shift.
Required Skills & Abilities
  • Strong understanding of live event production workflows including pre-production, technical planning, rehearsals, show execution, and post-production wrap.
  • Working knowledge of production budgets, vendor estimates, purchase orders, invoicing, budget tracking, and final reconciliation.
  • Strong organizational and project-management skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills and the ability to work effectively with producers, technical teams, vendors, stakeholders, executives, talent, and cross-functional partners.
  • Strong attention to detail and demonstrated ability to follow through on assignments without requiring constant oversight.
  • Comfortable working onsite in live production environments and adapting quickly when schedules or production requirements change.
  • Ability to identify production risks, missing information, and dependencies early and proactively drive them toward resolution.
  • Strong proficiency in Microsoft 365 and Google Workspace required, with experience using ShoFlo, Airtable, and Frame.io strongly preferred.
  • Working knowledge of AI tools, including ChatGPT, Microsoft Copilot, Gemini, and other emerging platforms, with the ability to use AI responsibly to improve workflows while maintaining accuracy, confidentiality, and quality.
Education & Experience
  • Bachelor's degree in film/television, event production, broadcast production, or equivalent practical experience.
  • 5+ years of professional experience producing live events, broadcasts, corporate events, studio productions, or similar live experiences.
  • 5+ years of professional experience developing and executing live event and broadcast productions.
  • Demonstrated portfolio of live productions across multiple formats, scales, and audience types.
  • Demonstrated experience independently producing live events or programs from planning through execution and wrap.
  • Hands-on experience with multi-camera broadcast production, livestreaming, studio production, and hybrid event delivery.
  • Experience creating and maintaining run of show documents, call sheets, production schedules, rehearsal schedules, budgets, staffing plans, and project trackers.
  • Experience working with technical production teams across audio, video, lighting, broadcast, streaming, staging, and show operations.
  • Experience working for or alongside an event production agency, broadcast production company, or internal corporate production team.
  • Experience producing corporate broadcasts, conferences, executive-facing programs, and other high-visibility live experiences.
Physical Requirements
  • Must be able to regularly stand, walk, and move throughout filming locations for extended periods of time.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • This role routinely requires using standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers.
  • This position may require the ability to stoop, kneel, crouch, or crawl.
  • Must be able to operate various electronic devices.
Position Type & Expected Hours of Work

This is a full-time Hybrid-Bay Area, CA role, defined as a combination of remote and in-office / on-site in the Greater San Francisco Area. This person would work remotely most days, but onsite as needed for client meetings and support. The office generally operates from 9 a.m. to 5 p.m., but the days and hours of this position may vary week-to-week. Mighty Media’s workplace policies are subject to change at any time based on business necessity and manager discretion.

  • Pursuant to state and local pay disclosure requirements, the pay range for this role is $130,000-$150,000 annually: Compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time.
