Qualifications

  • Bachelor's degree preferred.
  • Minimum of 5 years of legal administrative or executive assistant experience within a litigation practice.
  • Strong understanding of litigation procedures, court rules, calendaring requirements, and electronic court filing systems.

Responsibilities

  • Provide high-level administrative and legal support to attorneys across practice groups.
  • Assist attorneys throughout all phases of litigation, including pleadings, discovery, motion practice, trial preparation, and post-trial activities.
  • Draft, revise, proofread, and format legal documents, correspondence, agreements, motions, subpoenas, deposition notices, affidavits, discovery requests and responses, and other related materials.
  • Prepare and file court documents electronically in federal, state, and local courts.
  • Coordinate and support pre-trial and trial preparation, including exhibits and deposition logistics.
  • Maintain and organize physical and electronic case files.
  • Monitor court deadlines and docket activity to ensure timely filings and case management.
  • Manage attorney calendars, schedule meetings and travel arrangements.
  • Handle high-volume communications with clients, courts, and internal stakeholders.
  • Collaborate with legal support team to ensure workflow coverage and efficiency.
  • Assist with general administrative functions and time/billing related activities.
  • Coordinate with finance regarding billing and client matters.

Position Summary
A highly regarded national law firm is seeking an experienced Litigation Legal Assistant to provide comprehensive administrative and litigation support to attorneys within a fast-paced legal environment. This individual will serve as a key member of the legal support team, demonstrating exceptional organizational skills, sound judgment, professionalism, and the ability to manage multiple priorities while maintaining strict confidentiality.

The ideal candidate thrives in a deadline-driven setting, takes initiative with minimal supervision, and collaborates effectively with attorneys, clients, and colleagues across the organization.

Key Responsibilities
  • Provide high-level administrative and legal support to attorneys and legal professionals across various practice groups.
  • Assist attorneys throughout all phases of litigation, including pleadings, discovery, motion practice, trial preparation, and post-trial activities.
  • Draft, revise, proofread, and format legal documents, correspondence, agreements, motions, subpoenas, deposition notices, affidavits, discovery requests and responses, and other related materials.

  • Handle high-volume communications, including phone calls, emails, and message distribution.
  • Serve as a professional point of contact for clients, courts, opposing counsel, and internal stakeholders.
  • Collaborate with legal support team members to ensure seamless coverage and workflow management.
  • Assist with general administrative functions, including document management, filing, copying, scanning, and other office support tasks.
  • Prepare expense reports, process reimbursements, and assist with time entry and billing-related activities.
  • Coordinate with finance and administrative teams regarding billing, client matters, and reporting requirements.
  • Prepare presentation materials, reports, client communications, and other business documents.
  • Maintain the highest level of discretion when handling confidential and sensitive information.
  • Support special projects and additional responsibilities as assigned.
Qualifications
  • Bachelor's degree preferred.
  • Minimum of 5 years of legal administrative or executive assistant experience within a litigation practice.
  • Strong understanding of litigation procedures, court rules, calendaring requirements, and electronic court filing systems.
  • Experience supporting multiple attorneys in a fast-paced law firm or professional services environment.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong technical aptitude and ability to quickly learn new software applications and legal technology platforms.
  • Exceptional organizational skills with a keen attention to detail and accuracy.
  • Ability to manage competing priorities and adapt to changing deadlines.
  • Excellent written and verbal communication skills.
  • Proven ability to exercise discretion and maintain confidentiality.
  • Strong problem-solving skills and a proactive, client-service-oriented mindset.
  • Ability to work effectively both independently and as part of a collaborative team.
