Job summary

Raines Feldman Littrell LLP in Newport Beach, CA is seeking an experienced Litigation Support/Administrative Assistant to join our firm. You will prepare, file, and manage pleadings, discovery, and client correspondence, while coordinating calendars, travel, and billing to support multiple attorneys.

The role requires 5–8 years in litigation support, excellent written and verbal communication, meticulous organization, and the ability to handle deadlines independently.

Qualifications

  • 5–8 years of litigation legal assistant experience in a law firm.
  • Strong knowledge of state and federal court rules, filing procedures, and litigation deadlines.
  • Experience supporting multiple attorneys in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and organizational skills.
  • Ability to prioritize competing deadlines and work independently.
  • Professional demeanor with the ability to maintain confidentiality.

Responsibilities

  • Prepare, revise, proofread, and finalize pleadings, motions, discovery, correspondence, and other legal documents.
  • File documents electronically in state and federal courts, including California and other jurisdictions as needed.
  • Maintain attorney calendars, including court deadlines, hearings, depositions, mediations, trials, and client meetings.
  • Coordinate service of process, court filings, courtesy copies, and messenger services.
  • Assist with discovery, including organizing, indexing, and preparing document productions.
  • Prepare deposition, mediation, arbitration, and trial binders and materials.
  • Coordinate with court reporters, expert witnesses, vendors, and outside counsel.
  • Monitor litigation deadlines and communicate upcoming deadlines to attorneys.

Essential Duties and Responsibilities
Litigation Support
  • Prepare, revise, proofread, and finalize pleadings, motions, discovery, correspondence, and other legal documents.
  • File documents electronically in state and federal courts, including California and other jurisdictions as needed.
  • Maintain attorney calendars, including court deadlines, hearings, depositions, mediations, trials, and client meetings.
  • Coordinate service of process, court filings, courtesy copies, and messenger services.
  • Assist with discovery, including organizing, indexing, and preparing document productions.
  • Prepare deposition, mediation, arbitration, and trial binders and materials.
  • Coordinate with court reporters, expert witnesses, vendors, and outside counsel.
  • Monitor litigation deadlines and communicate upcoming deadlines to attorneys.
Administrative Support
  • Manage attorney calendars, travel arrangements, and expense reimbursements.
  • Screen calls, schedule meetings, and coordinate conference rooms and Zoom meetings.
  • Open new matters and assist with conflicts and engagement letters as requested.
  • Prepare client correspondence and maintain electronic and physical case files.
  • Enter attorney time and assist with monthly billing and expense review.
  • Process client costs and reimbursements.
  • Communicate professionally with clients, courts, opposing counsel, and firm personnel.
  • Work collaboratively with paralegals, docketing, billing, and administrative staff.
  • Assist with trial preparation and provide onsite trial support as needed.
  • Support additional attorneys or special projects during periods of increased workload.
Qualifications
  • 5–8 years of litigation legal assistant experience in a law firm.

Education
  • High school diploma or equivalent required.
  • Associate's or bachelor's degree preferred.
  • Strong organizational and time management skills

Salary Range: The anticipated salary range for this position is $90,000–$110,000 annually, depending on experience, qualifications, skills, and geographic location. Employees may also be eligible for discretionary bonuses and a comprehensive benefits package.
