Description Of Job

This position is located in the Division of Racing, Lakewood Office and will also be required to work as needed at the Division's Arapahoe Park and off-track facility located at 26000 E. Quincy Ave, Aurora, CO , 80016 and is critical to supporting and accomplishing the mission and vision of the Division. This position will provide continued support services for the Licensing section within Racing, as well as the public and licensees. Functions include processing and issuing licenses; Establish, process, image and maintain licensing files; Provide phone coverage. This position reports to the Agent in Charge.

Application Processing

  • Processes business and individual applications after investigation has been completed and update changes on licenses. This position creates business licenses and licensee badges.
  • Examines temporary staff work for accuracy and completeness.
  • Makes licensing decisions in accordance with rules, regulations and procedures.
  • Works with other licensing jurisdictions to correct deficiencies on license applications prior to licensing applicants.

Scanning and Filing

  • Correctly enters updated and new data to licensee files in Division’s licensing databases.
  • Position correctly upload scanned and approved applications to licensees’ files in the Division’s licensing database and updates data to licensee files with information provided by licensees.
  • Updates the Division’s licensing databases with miscellaneous paperwork received by licensees.

Data Entry

  • Correctly enters new and updated data to licensee files in Division’s licensing databases.
  • Correctly uploads scanned and approved applications to licensees’ files in the Division’s licensing databases.
  • Position updates the Division licensing databases with miscellaneous updated paperwork sent in by licensees.

Other Duties As Assigned

  • Accepts payment from licensees, receipts of funds and reconciles cash for daily deposit.
  • Position follows up on correspondence with licensees and the public and disseminates new information to licensees and the public as needed.

Minimum Qualifications

Education and Experience:Three (3) years of general clerical experience in an administrative or office support role demonstrating high level decision making and multitasking.

General clerical duties may include: the accurate and timely completion and processing of documents and information electronically; scheduling; accepting reservations or accepting registrations; reception and intake; record keeping and maintenance; meeting arrangements; document creation, word processing; revising office procedures; compiling and formatting the content for program materials such as annual reports and newsletters; screening documents and supporting information to determine eligibility, authenticity, or identity; accounting for the unit's allotted funds by authorizing (signing) operating expenditures ;

  • NOTE: Retail, food service or call center customer service is not in an office support environment and will not be given credit toward the minimum requirements.

Substitutions

College or university course work in Business or a similar discipline may substitute for the experience on a year for year basis.

Necessary Special Requirements

Applicants must be able to successfully pass a background investigation.

Conditions Of Employment With The CDOR

Employees are in a position of public trust in the performance of their job duties and must operate in a manner that maintains the highest standards of honesty, integrity, and public confidence.

As a condition of employment with the CDOR, all personnel must file all necessary Colorado Individual Income Tax (CIIT) returns and pay tax obligations, therefore all employees must undergo a pre-employment evaluation of their tax records/accounts to ensure compliance with this policy. Final candidates must also complete a successful background investigation and reference check prior to appointment. Certain positions based on duties may require scheduled background investigations .

Pursuant to the Universal Driving Standards Policy , any worker who will be expected to drive a State-owned vehicle is responsible for maintaining a safe driving record and a valid driver license prior to driving any State-owned vehicle.

To Be Compliant With The New Fleet Vehicle Policy, Motor Vehicle Records (MVRs) Will Be Pulled For Review For Workers Who

  • Have an assigned State fleet vehicle
  • Are required to operate a vehicle as part of the position
  • Utilize a State fleet vehicle as a pool vehicle
