Responsibilities

  • Learn and understand onboarding training provided.
  • Maintain understanding of Guided Care software for licensing workflow.
  • Submit applications for clients following processes set by leadership.
  • Respond to client emails by end of day.
  • Prepare and send licensing updates to clients per cadence.
  • Ensure timely Medicaid provider registrations in compliance with guidelines.
  • Complete Medicare 855 applications accurately.

Positions Overview: Licensing Specialist

The Licensing Specialist is responsible for is responsible for completing licensing, Medicare, Medicaid registrations with accurate quick turnaround times on application submissions and approvals. This role requires consistent follow-up, strong problem-solving skills, and the ability to escalates issues when necessary to ensure registration processes are completed smoothly and efficiently. The Licensing Specialist reports to the Director of Licensing. Please note, this is a part time position.

Key Results Area
  • Puts forth best efforts to learn and understand the full training provided upon onboarding.
  • Maintain a full understanding of Guided Care software for licensing workflow.
  • Follow processes set forth by senior leadership to successfully submit applications for clients.
  • Responds to client emails by EOD.
  • Prepare and send licensing and registration client updates to each client according to the cadence established by senior leadership.
  • Ensure the accurate and timely submission of Medicaid provider registrations in full compliance with state Medicaid guidelines and requirements.
  • Complete Medicare 855 applications with a high level of accuracy, ensuring all forms are filled out correctly the first time.
  • Submit forms, applications, and other requests as necessary to complete client requests including but not limited to, revalidations, NPI registration, Entity application.
  • Coordinate with internal teams and providers to obtain any missing or clarifying information required for the application process.
  • Maintain a comprehensive and up-to-date record of all missing information, ensuring clarity and accessibility for follow-up.
  • Set up and schedule phone meetings with providers to discuss missing or incomplete information after two follow-up attempts via email or other communication methods.
  • Escalate concerns related to licensing obstacles to supervisor within 48 hours.
  • Evaluate and assess personal performance on a routine basis.
  • Maintains time clock, requests, and takes PTO according to HR policies.
  • Other duties as assigned.
  • Agree to uphold and practice company principles (GUIDE) in all work-related interaction'.

  • Quality camera to be used when joining internal and client meetings scheduled via Zoom or Microsoft Teams or other video meeting platforms. When participating, focus on the matter at hand. Refrains from actively performing other duties even if work-related.
  • Joins scheduled client meetings timely, best practice 3 minutes before meeting time, to ensure the best self and company representation.
  • Microsoft Office proficiency, with the aptitude to learn new programs.
Working Conditions/ Physical Demands
  • Works in a well-lit/ventilated office, and as indicated remotely.
  • When joining video meetings, use camera as mentioned above and presents with a blank wall or other professional background as approved by HR.
  • Must be able to remain in a stationary position and move about the work area intermittently throughout the workday.
  • Ability to observe details at close range.
  • Constantly operates a computer and other office equipment.
