Job summary

Unison Risk Advisors is seeking a Licensing Coordinator to support the licensing department by ensuring timely renewal of agency and producer licenses. This role collaborates with Legal, HR, Operations, Accounting and Surplus Lines to scale licensing processes and respond to licensing inquiries.

Qualifications

  • 3+ years of licensing experience with an insurance agency, wholesale brokerage, or regulatory environment.
  • Strong attention to detail, organization, and ability to manage deadlines.
  • Proficiency in Microsoft Products (Excel, Word, Outlook, PowerPoint, Teams).

Responsibilities

  • Prepare and submit agency, producer, and adjuster license applications through licensing software, NIPR or state specific portal.
  • Process new hire licensing paperwork.
  • Track license approvals and deficiencies.
  • Monitor resident license expirations and send reminders.
  • Coordinate license reinstatements.
  • Assist with name, address, and email changes to state insurance bureaus.
  • Submit administrative action disclosures and supporting documentation.
  • Request bonds needed for licensing.
  • Track and maintain designated responsible licensed producers (DRLPs).
  • Process agency ownership and officer changes.
  • Manage Secretary of State registrations as they relate to licensing.
  • Respond to carrier licensing verification requests.
  • Respond to regulatory inquiries, as needed.
  • Maintain accurate licensing data in licensing software.
  • Identify and resolve discrepancies related to pending submissions.
  • Support internal licensing audits by reviewing reports.

Job description

The Licensing Coordinator is responsible for supporting Unison Risk Advisors’ licensing department through the accurate and timely renewal of agency and producer/adjuster insurance licenses. This role operates as a hands‑on contributor within the Compliance function, ensuring regulatory adherence, data integrity, and on‑time execution of licensing projects.

This position partners closely with Legal, HR, Operations, Accounting and Surplus Lines Departments as well as business stakeholders to support operational excellence, respond to licensing requests and inquiries, and help scale licensing processes across the organization. The role is primarily operational and execution-focused, with opportunities to contribute to process improvements and compliance best practices.

Key Responsibilities Hands-On Execution & Delivery

Reporting, Quality & Operational Support
  • Maintain accurate licensing data in licensing software.
  • Identify and resolve any discrepancies related to pending licensing submissions.
  • Support internal licensing audits by reviewing reports on a routine basis.
Cross-Functional Partnership & Integration
  • Partner with internal stakeholders (Legal, HR, Operations, Accounting, Surplus Lines and Producers) to identify and resolve issues and ensure smooth transaction processing.
  • Provide guidance on pre-licensing courses and continuing education resources.
  • Serve as a resource to employees regarding licensing related questions and requirements.
Growth, Change & Special Initiatives
  • Support onboarding of newly acquired entities into Unison’s licensing processes, systems, and protocols.
  • Identify opportunities to improve efficiency, accuracy, and scalability within licensing processes.
Process Improvement & Best Practices
  • Stay informed on changes in licensing regulations and proactively recommend updates to processes.
  • Contribute to documentation, workflows, and best practices to support consistent execution across the organization.
  • Work seamlessly in partnership with fellow licensing department team members.
Accountability
  • Ensuring timely and accurate license submissions.
  • Demonstrating strong attention to detail, urgency, and ownership in all responsibilities.
  • Maintaining high-quality documentation to support audit readiness and regulatory inquiries.
  • Building effective working relationships across departments to ensure issue resolution and alignment.
Qualifications Required

Preferred
  • Experience with Rhoads Online or other licensing compliance software
  • Working knowledge of commercial insurance.
  • Exposure to M&A integrations or onboarding processes.

  • Work Schedule: Full-time, 40 hours/week
  • Location: Hybrid or fully remote
