We are looking for a Legalization Consultant based in Washington, DC to support clients with document authentication, legalization services, and travel document requirements. This role involves customer service, document processing, legalization and authentication of documents, and communication with clients and government agencies, ensuring submissions are accurate and completed on time.

The successful candidate will review and prepare documentation, manage legalization requests, coordinate submissions and collections, and track progress, while maintaining strong client relationships.

This role is ideal for someone with strong attention to detail, organizational skills, and experience in customer service, administration, or document processing, working in a fast‑paced environment.

Responsibilities
  • Analyze customer legalization requests to provide clear direction in fulfilling requests, including understanding steps needed to legalize or authenticate different document types.
  • Provide the highest level of service to customers; give detailed information on available services and assist customers in making informed decisions.
  • Maintain deep content knowledge of all aspects of the organization’s business process, system capabilities, and policies and procedures.
  • Adhere to office process flows that ensure maximum efficiency and productivity.
  • Oversee and manage passport logistics to ensure correct submission, collection, quality control, and return of client documentation.
  • Ensure the cash flow process is correctly reconciled and all submissions and collections are accounted for.
  • Maintain performance standards to ensure quality service and optimal performance, with quantitative metrics such as number of orders completed or drafted.
  • Ensure all files are reviewed and dispatch arrangements finalized for the following working day.
  • Be flexible in shift rotation to create a true sense of teamwork.
  • Work closely with other areas across the business to support ongoing improvements and provide input into strategic and tactical plans that enhance, expand, and improve overall customer service and quality of the organization’s offerings.
  • Undertake all other reasonable duties as requested by the Team Lead or Director.
  • Ensure that all required documents are returned to the applicant in accordance with the required date.
  • Stay abreast of all product and service enhancements, system updates, and changes to requirements; become specialized in the legal process to maximize efficiencies and productivity.
