Job summary

The legal secretary will support multiple attorneys by preparing and revising correspondence, pleadings, and documents; maintaining calendars; and managing office and client filings.

The ideal candidate types at least 65+ wpm accurately, is highly organized, detail-oriented, a team player, with at least 3 years of recent legal secretary experience, including electronic filing.

Essential Functions

  1. Assist attorneys by demonstrating knowledge of current cases and projects, utilizing available resources efficiently.
  2. Support multiple attorneys in employment law matters and provide backup support as needed.
  3. Act as liaison between internal departments and outside agencies.
  4. Prepare and revise correspondence, pleadings, documents, and other clerical tasks.
  5. Handle complex, confidential, and time-sensitive materials.
  6. Conduct conflict checks and facilitate new client engagements.
  7. Maintain calendars, CLE, reports, and time records.
  8. Organize travel arrangements, including flights, hotels, and transportation.
  9. Maintain litigation docketing for attorneys.
  10. Perform office and client filings; proofread documents.

Qualifications/Skills Required

  1. At least 3 years of recent legal secretarial experience in a law firm; labor and employment experience is a plus.
  2. Typing speed of 65+ wpm.
  3. Knowledge of state and federal rules and procedures.
  4. Understanding of legal terminology and court filings.
  5. Experience with trial preparation and briefs.
  6. Punctuality and excellent attendance.
  7. Proficiency in generating Tables of Authorities.
  8. Strong communication and proofreading skills.
  9. Ability to multi-task and meet deadlines in a high-volume litigation environment.
  10. Knowledge of Office Suite 2007, including Outlook, Word, Excel, and PowerPoint.
  11. Strong interpersonal skills and ability to work collaboratively in a small office environment.

Educational Requirements

  1. High School diploma or equivalent required.
  2. Four-year college degree preferred.
