Responsibilities

• Greet clients, visitors, and vendors and provide a professional office experience.
• Answer, screen, and route incoming calls promptly and accurately.
• Gather preliminary information from prospective clients using intake procedures.
• Record and distribute messages timely and accurately.
• Prepare and reset conference rooms for meetings and events.
• Receive, sort, and distribute mail and documents.
• Scan, file, and organize records (electronic and physical).
• Enter expenses and information into the practice-management system.
• Monitor supplies and coordinate replenishment.
• Provide administrative support for attorneys and staff.
• Protect confidential information.

About The Position

Zacks, Freedman & Chernev, PC is seeking a dependable and service-oriented Legal Receptionist & Client Services Coordinator for our San Francisco office.

You will serve as the first point of contact for clients, prospective clients, attorneys, vendors, and other visitors. You will manage incoming calls, support the firm's client-intake process, and help keep daily office operations organized.

What You Will Do

Requirements

Preferred

• Experience answering a multi-line telephone system.
• Experience with client intake, data entry, or practice-management software.

Legal experience is helpful, but we encourage applicants with transferable experience in professional services, hospitality, healthcare, property management, or another client-facing environment to apply.
