ROLEWe are seeking an experienced Legal Receptionist to support the United States Attorney’s Office for the Southern District of Texas (USAO SDTX) in Houston, TX. This position plays a key role in supporting litigation teams by ensuring the smooth operation of administrative and clerical functions in a secure federal environment. Reception- Provide receptionist and clerical support for litigation staff
- Receive and screen telephone calls and office visitors
- Notify staff of visitors and incoming calls
- Operate and maintain telephone switchboard equipment
- Interact professionally with staff, visitors, and other personnel
- Control access to the office and ensure only cleared individuals are admitted
- Enforce administrative rules and regulations governing facility access
- Monitor facility access using closed circuit television and cameras
II. Clerical Support- Draft and format documents using word processing software based on a variety of input sources
- Operate word processing software and manage filing systems in daily tasks
- Screen and distribute incoming mail and packages
- Respond to inquiries via phone, email, letter, and fax
- Work under the supervision of the Office Manager
- Apply sound judgment in performing daily responsibilities
- Take initiative in planning and completing assigned tasks
III. Case Management- Open and close case files in Caseview and assemble new case documentation
- File appeal records with corresponding criminal files
- Assist with litigation support tasks in coordination with AUSAs and Legal Assistants
- Track and communicate changes to court dockets and calendars
IV. Logistics & Inventory- Monitor and track use of government vehicles, keys, fuel cards, and mileage logs
- Assist with inventory management and excess property submission
- Conduct annual inventory of civil and criminal case files
- Coordinate travel for case witnesses and litigation staff
REQUIRED KNOWLEDGE & SKILLS- Demonstrated proficiency in Microsoft Office applications, including Word, PowerPoint, Excel, and Outlook
- Ability to operate a computer to produce documents, create spreadsheets, and manage databases
- Familiarity with procedures for controlling physical access to secure facilities
- Strong written and verbal communication skills for professional correspondence and inquiry response
- Attention to detail and organizational skills for document handling and case file management
- Ability to maintain confidentiality and handle sensitive information appropriately
REQUIRED EXPERIENCE- Experience managing front desk/reception operations in a professional or legal environment
PREFERRED EXPERIENCE- Experience supporting legal or litigation-based office operations
EDUCATION- High school diploma or equivalent required
- Undergraduate degree preferred
