You are the first person an injured Georgian talks to after the worst day of their year. At The Embry Law Firm, that conversation decides whether a case gets built right or falls apart before it starts.
We are a plaintiff-side personal injury firm in Douglasville handling car wrecks, trucking collisions, premises liability, and wrongful death cases across Georgia. We are looking for an Intake Specialist who treats every call like it could be the next one.
This is not a call-center job. You will screen cases for legal viability, run conflict checks, explain our fee structure, move potential clients to a signed agreement within hours, and launch the open records requests that let our attorneys start building the case. You own the file from first call to handoff to the next team member.
Compensation: $55,000 - $70,000 yearly
Qualifications
- Who We're Looking For
- The right person is warm on the phone and relentless on the follow-up. You can comfort a caller who just lost a family member and, on the same call, collect every data point we need without making it feel like an interrogation.
- Required
- 2+ years of client intake, sales, claims, customer service or legal support experience with a documented conversion or follow-up component
- Comfort following scripts and checklists exactly, and the judgment to know when a call needs to be escalated to an attorney
- Strong written documentation habits. Our rule: if it is not documented, it did not happen
- Proficiency with CRM or case-management software and Microsoft 365 (Outlook, Teams, Excel); able to learn LeadDocket, CasePeer, Vinesign and Adobe Acrobat quickly
- Ability to manage a high call volume while keeping every lead's status current the same day
- Discretion with confidential medical, insurance, and personal information
- Reliable, on-time, in-office attendance in Douglasville
- Traits that predict success here
- Persistent without being pushy: you will follow up with the same potential client six times in two days and sound happy to hear from them each time
- Detail-driven: correct file names, correct lead sources, costs entered at accrual, deadlines met
- Calm under emotional pressure: you can hold a conversation with someone in pain, in anger, or in grief
- Accountable: you run your own reports, audit your own checklists, and own the outcome of your pipeline
- Nice to Have
- Prior experience at a personal injury firm, insurance carrier, or medical provider's front office
- Familiarity with Georgia crash reports, BuyCrash, open records requests, or municipal court citation requests
- Experience with LeadDocket, CasePeer, Vinesign, or Intaker
- Bilingual (Spanish strongly preferred)
- Notary public commission in Georgia
Responsibilities
- Answer and screen every new lead
- Take inbound calls, web chats and form leads from TV, billboards, Google, FindLaw, Intaker and referrals, and capture the exact lead source every time
- Follow our Georgia intake scripts and checklists for car wreck, trucking and premises liability cases, verbatim
- Collect complete contact, incident, injury, treatment and insurance information on the first call
- Determine whether a matter involves bodily injury, treatment and a viable liability theory, and spot statute-of-limitations risks early
- Protect the firm
- Run a live conflict check on every party before the intake proceeds, and stop if a conflict exists
- Escalate immediately on mandatory triggers: trucking and commercial vehicles, fatalities, catastrophic injuries, multi-vehicle crashes, government defendants, disputed liability, deadlines inside six months, recorded statements already given, or prior representation
- Never give legal advice or promise representation, and use only approved language with potential clients
- Convert viable leads into signed clients
- Explain our contingency fee (33.3% pre-suit, 40% in litigation) and administrative fee clearly and confidently
- Send the welcome packet (engagement agreement, firm HIPAA, hospital HIPAA) electronically before the call ends
- Run our follow-up cadence until the agreement is signed
- Request photos, videos, witness information, driver's license, auto and health insurance cards
- Launch the case
- Send open records requests for police reports, 911 and CAD records, body cam and dash cam footage, and citation dispositions within five business days of intake, and follow up until received
- Manage referrals and the pipeline
