Job Description: Administrative and Marketing Assistant

We are a litigation-focused law firm representing inventors, entrepreneurs, and business owners in complex legal disputes since 2005. Our firm handles cases such as breach of contract, business disputes, and intellectual property issues. We are committed to excellence and personal service, and we are seeking a detail-oriented team member to support our operations, interact with clients, and coordinate marketing efforts.

Position Overview:

We are looking for a highly organized, proactive individual to manage daily office operations, assist with client intake, and oversee marketing initiatives. This role is ideal for someone creative, team-oriented, and eager to work in a fast-paced legal environment. Responsibilities include administrative tasks, client communication, and marketing activities such as creating social media content and blog posts.

Key Responsibilities:

  1. Office Management: Maintain office equipment, supplies, vendor relationships, and communications; ensure a clean, professional environment; coordinate with offsite file storage and records vendors.
  2. Marketing: Create and post social media ads, send marketing emails, develop campaigns, and update the website for SEO.
  3. Documents & Systems: Organize mail, documents, and checks; maintain filing systems; manage court system logins; update contact lists.
  4. Expenses: Reconcile firm expenses, process client invoices, and send checks.
  5. Client & Team Support: Send engagement agreements via DocuSign, handle client calls, conduct initial screenings, schedule meetings, and coordinate internal events.

Qualifications:

  • Experience in legal administration or office coordination.
  • Marketing experience is a plus.
  • Familiarity with legal procedures and case management software like MyCase is preferred.
  • Strong organizational skills and attention to detail.
  • Friendly communication style, both written and verbal.
  • Service-oriented mindset and ability to manage systems and logins.
