Responsibilities

  • Provides document production services per attorney and practice area procedures.
  • Proofreads documents for formatting, spelling, and grammar; ensures attachments are complete.
  • Assembles documents and materials for client presentations.
  • Maintains knowledge of supported practice areas and maintains up-to-date files.
  • Files documents electronically with courts and manages document delivery.
  • Tracks attorney time for invoicing and processes reimbursements.
  • Schedules conference rooms and assists with meetings and meals as needed.
  • Acts as liaison to firm departments for assigned attorneys.

ESSENTIAL DUTIES / RESPONSIBILITIES:
  • Provides document production services in accordance with the requirements of attorneys, paralegals and Firm practice area procedures.
  • Proofreads all documents produced, checking for appropriate formatting, spelling and grammatical errors, as well as ensuring that all attachments, exhibits and enclosures are intact.
  • Creates and assembles documents and materials for client and other presentations.
  • Maintains current knowledge about processes utilized in supported practice area(s).
  • Files documents electronically with the courts.
  • Performs document delivery services as requested.
  • Performs routine filing into client/matter and other files (physical or electronic), keeps files up to date at all times, and retrieves closed files when requested.
  • Performs ongoing maintenance and management of attorney contacts in ContactEase (CRM), enters new contacts, assists with compiling mailing lists for distribution of communications.
  • Makes travel arrangements and manages registration and payment for attorney attendance at conferences.
  • Processes expense reimbursements.
  • Reviews and releases attorney time into Aderant for invoicing.
  • Copies, scans and faxes documents as directed.
  • Schedules use of conference rooms as requested by attorney(s). May order meals, assists with set up, clean up and organization for client and Firm meetings as requested by attorneys.
  • Communicates with clients of Firm and others as requested or in attorney's absence.
  • Acts as administrative liaison to other Firm departments on behalf of assigned attorneys (i.e. maintaining survey info, CLE information, list of clients and concepts, client billing information, etc.)
  • Assists other legal assistants in document production and other work as requested.
  • Performs other duties and special projects as requested.
REQUIREMENTS:
  • Proficiency in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint as well as Windows operating system and other software programs used by the Firm.
  • Outstanding communication and listening skills.
  • Excellent command of grammar, spelling and sentence structure.
  • Ability to prioritize in a multi-tasking environment.
  • High degree of accuracy and ability to maintain confidentiality at all times.
  • Ability to take direction.
  • Ability to work independently and in a team environment as needed.
  • High school diploma required, college experience preferred.
