Job description

Cleveland Elder Law Co., LPA·Full-time·Independence, OH·

Who we are

Cleveland Elder Law is a value-driven, thriving elder law and estate planning firm. We are looking for a detail-oriented candidate who takes initiative and can collaborate and work independently to join our small but mighty team. It's meaningful, people-first work, and we're looking for an organized, warm person to keep our office running and support the people doing the casework.

The role

We're looking for an organized, warm, tech-comfortable person to be the backbone of our client experience. Your job is to be the person who makes their work possible: answering the phone, keeping documents moving, assembling what goes to the county and the courts, and making sure nothing sits waiting.

What you'll do
  • Answer the phone and be the first voice families hear. Take careful messages, route calls, and schedule appointments.
  • Open, scan, and file the mail and flag anything that needs attention the same day.
  • Support our Medicaid applications. Send the document checklist, follow up with families and banks for what's missing, and assemble the application packet for our paralegal and attorney to review.
  • Support our probate matters. Prepare the routine court forms, make up filing copies, handle certified mail and court filings, and keep track of what each court is waiting for.
  • Build client binders and prepare files for the day's meetings.
  • Keep our case management system current. Enter notes, tick off checklist steps, and make sure every file reflects where the matter actually stands.
  • Name and file documents to our convention so anyone can find anything.
What we're looking for
  • Warm and steady on the phone. Many of our callers are older adults, or adult children in a stressful week.
  • Organized, with a real instinct for follow-up. The job is largely about chasing the one document nobody has sent yet.
  • Careful with paperwork. You notice a missing page, an unsigned line, or a statement that covers the wrong month.
  • Comfortable with technology. We work in a case management system and our own tools, and you'll learn them quickly.
  • Discreet and trustworthy with confidential client and financial information.
  • A notary, or willing to become one. We will pay for it.
  • No legal experience required. If you are organized, kind, and quick to learn, we will train you on the rest.
You may be a great fit if you've worked as

Receptionist or front desk at a professional office, medical office or patient intake assistant, benefits or social services assistant, insurance or claims assistant, administrative assistant, bank or title office assistant, or court clerk.
