Overview

The Legal Administrative Assistant supports the delivery of quality legal services to clients by providing specialized administrative assistance to assigned attorneys and legal personnel pertaining to all aspects of our Litigation practice area. Assignment involves multi-tasking, complex document production, heavy administrative functions, and client contact, requiring a high degree of administrative and technical skills. Our Legal Administrative Assistants typically support two-to-three attorneys or other legal personnel as a primary assignment and provide back-up support to other legal personnel as requested. The right candidate will demonstrate professionalism in all internal and external interactions with clients, co-workers and third party affiliates. The position maintains strict confidentiality in all client and firm matters.

Responsibilities
  • Prepares and proofs standard legal documents, such as pleadings, motions, and discovery requests. Ensures legal documents are compliant with court rules and filed properly.
  • Efficiently create, organize, and maintain client files.
  • Conduct comprehensive research using various tools, including Westlaw, PACER, and different state court dockets.
  • Act as a liaison with courts and various litigation-related vendors such as process servers and couriers.
  • Assist attorneys in preparing for trial and hearing by organizing and summarizing relevant documents.
  • Communicate with clients, witnesses, and other parties to gather information and answer questions.
  • Prepares and assembles materials, documents, and exhibits for various court appearances, depositions and meetings.
  • Receives and screens telephone calls responding to inquiries on a variety of matters such as case status and attorney scheduling.
  • Handle general administrative duties, including organizing litigation binders, managing phone coverage, processing incoming mail, and overseeing the office calendar with case deadlines.
  • Manages incoming mail and outgoing mail and properly files in case file and scans to office document management files.
  • Manages attorney’s calendars including scheduling appointments and adding new appearances as received in the attorney’s mail.
  • Organize and maintain case files, including physical and electronic files.
  • Performs additional duties as requested.
Position Requirements
  • Associate degree or better and five or more years of litigation experience.
  • Experience working with Massachusetts Courts.
  • Experience preparing Rule 9A motion packages for filing in the Mass. Superior Courts
  • Proficiency in MS Office Suite including Word, Excel, Outlook, and PowerPoint. Also Adobe Acrobat, Visio, Document Management Systems and comparison software.
  • Notary public certification preferred.
  • Exceptional organization, attention to detail and time management skills.
  • Comfortable balancing multiple projects.
  • Excellent interpersonal, verbal, and written communication skills. Ability to communicate with courtesy and diplomacy. Efficiently follow written and verbal instructions. Maintain effective relationships with a diverse group of attorneys, clients, staff and outside contacts with discretion and strict confidentiality.
  • Applicant must be a dependable team player who works collaboratively and cooperatively with others. Exhibits a positive, supportive attitude at all times. Ability to act independently and make decisions within the scope of the position’s responsibilities.

The base salary range provided below reflects our good faith estimate of the expected starting compensation for this role at the time of posting. The final compensation offered to a selected candidate will be determined based on job-related, non-discriminatory factors, including a candidate’s experience, qualifications, education, external market data, and internal equity considerations. In addition to base salary, employees receive other variable compensation based on their role and individual performance. $70,000 - $100,000.
