Job Title: Legal Administrative Assistant

Location: New York City, NY 10017

Salary/Payrate: $75k - $110k

Work Environment: Hybrid (4 Days in Office)

Bachelor’s degree required: Preferred

Job Description

The Assistant is a key member of the New York administrative support team, who puts clients first while helping attorneys maximize the amount of time that they can devote to client matters. The Assistant performs a wide variety of organizational and administrative tasks, including providing high-level customer service and support, and maintaining knowledge of the firm’s practice areas and attorneys’ specialties to ensure excellent client satisfaction.

  1. Schedules and maintains timekeepers’ calendars, including meetings across different time zones.
  2. Interacts directly with clients in a friendly, professional manner, responding promptly to requests.
  3. Addresses client issues and problems timely, seeking feedback and follow-up as needed.
  4. Reviews and manages attorney emails and calls, reducing administrative burdens.
  5. Maintains client contact information, including marketing lists and database updates.
  6. Handles new matter openings, conflict checks, and drafts engagement letters.
  7. Inputs, reviews, and closes time entries via the firm’s web-based program.
  8. Assists with billing processes, monitors client budgets, and manages inquiries.
  9. Coordinates travel arrangements and manages related information.
  10. Prepares, edits, and proofs work products, following firm standards.
  11. Coordinates with Records for file retrieval and manages file organization.
  12. Prepares audit responses and arranges conference calls and meetings.
Required Skills
  • Advanced knowledge of Microsoft Office Suite.
  • Effective verbal and written communication skills with lawyers, staff, and clients.
  • Strong attention to detail and commitment to quality work.
  • Flexible, adaptable to changing assignments.
  • Excellent organizational and prioritization skills.
  • Proactive in seeking guidance and asking questions.
Education, Certifications, and Experience
  • Minimum five years of administrative experience in a large law or professional services firm.
  • Billing experience, including electronic billing, preferred.
  • Bachelor’s degree preferred.

Hours: Core hours are Monday through Friday, 10:00 a.m. to 6:00 p.m., including lunch, with flexibility for overtime as needed.
