Job summary

Grant-Shannon Staffing is seeking an experienced Real Estate Legal Assistant in Minneapolis, MN to support attorneys handling commercial real estate transactions from contract to closing.

The ideal candidate has at least two years of experience in a law firm, strong attention to detail, and excellent organization to manage deadlines in a fast-paced environment. Proficiency in MS Office and billing/document management is preferred.

Qualifications

  • Minimum of two years of experience as a Legal Assistant in a law firm.
  • Knowledge of residential and commercial real estate transactions and closing procedures.
  • Experience in a law firm environment is preferred.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, Adobe Acrobat).
  • Familiarity with legal practice management, document management, and billing software.
  • Strong proofreading and document formatting skills.
  • Excellent verbal and written communication skills.
  • Ability to prioritize multiple assignments and meet strict deadlines.

Responsibilities

  • Provide administrative and legal support to attorneys in real estate practice.
  • Prepare, revise, proofread, and finalize legal documents including purchase agreements, deeds, mortgages, leases, and closing statements.
  • Open and organize client and transaction files both electronically and physically.
  • Coordinate real estate transactions from contract execution through closing and post-closing.
  • Order and review title commitments, surveys, tax certificates, payoff statements, and related documents.
  • Prepare closing packages and ensure closing requirements are satisfied.
  • Schedule client meetings, closings, and attorney calendars.
  • Communicate with clients, lenders, title companies, and agents regarding status and items.
  • Track deadlines and follow up on required documentation to ensure timely closings.
  • Assist with recording deeds, mortgages, releases, and related documents.
  • Maintain billing records and assist with invoicing as needed.
  • Ensure compliance with firm procedures and confidentiality standards.
  • Perform general legal administrative duties as assigned.

Our client is seeking an experienced and highly organized Real Estate Legal Assistant with a minimum of two years of experience in a law firm setting. The ideal candidate will provide direct support to attorneys handling commercial real estate matters, ensuring transactions are managed efficiently from contract through closing. This position requires strong attention to detail, exceptional organizational skills, and the ability to manage multiple deadlines in a fast-paced legal environment.

Essential Duties and Responsibilities:
  • Provide administrative and legal support to attorneys practicing in residential and commercial real estate law.
  • Prepare, revise, proofread, and finalize legal documents, including purchase agreements, deeds, mortgages, leases, easements, affidavits, closing disclosures, and settlement statements.
  • Open, maintain, and organize client and transaction files, both electronically and physically.
  • Coordinate all aspects of real estate transactions from contract execution through closing and post-closing.
  • Order and review title commitments, surveys, tax certificates, payoff statements, and other transaction-related documents.
  • Prepare closing packages and ensure all closing requirements are satisfied.
  • Schedule and coordinate client meetings, closings, and attorney calendars.
  • Communicate professionally with clients, lenders, title companies, real estate agents, and municipal offices regarding transaction status and outstanding items.
  • Track critical deadlines and follow up on required documentation to ensure timely closings.
  • Assist with recording deeds, mortgages, releases, and related documents with appropriate government agencies.
  • Maintain billing records, enter attorney time, and assist with invoicing as needed.
  • Ensure compliance with firm procedures, legal requirements, and confidentiality standards.
  • Perform general legal administrative duties and other responsibilities as assigned.
Qualifications
  • Minimum of two (2) years of experience as a Legal Assistant, preferably in a real estate or transactional law practice.
  • Knowledge of residential and commercial real estate transactions and closing procedures.
  • Experience working in a law firm environment preferred.
  • Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and Adobe Acrobat.
  • Familiarity with legal practice management, document management, and billing software.
  • Strong proofreading and document formatting skills.
  • Excellent verbal and written communication skills.
