Summary

We are seeking a highly organized, dependable and detail-oriented Legal Financial Office Manager to manage the financial and administrative operations of our small but busy legal practice. This role is responsible for managing billing, trust accounting, payroll coordination, financial reporting, and ensuring compliance with legal and ethical financial standards. This role is ideal for someone who enjoys wearing multiple hats, has experience in both legal office administration and financial management and enjoys being part of a close-knit team. The Legal Financial Office Manager ensures the firm’s finances run smoothly, compliantly, and efficiently so attorneys can focus on practicing law.

Key Responsibilities/Duties
  • Oversee day-to-day financial operations, including accounts payable, accounts receivable, and general ledger activities
  • Manage client billing including knowledge of electronic billing programs, invoicing, and collections in accordance with legal billing guidelines
  • Maintain and reconcile trust (IOLTA) and operating accounts, ensuring strict compliance with state bar regulations
  • Prepare monthly, quarterly, and annual financial reports and budgets
  • Supervise timekeeping and billing processes for attorneys and staff
  • Review and approve invoices for accuracy and compliance with fee agreements
  • Coordinate with attorneys to resolve billing inquiries and discrepancies
  • Coordinate payroll processing with internal teams or external providers
  • Manage vendor relationships, contracts, and expense approvals
  • Ensure timely payment of taxes, fees, and professional obligations
Leadership & Administration
  • Supervise and train accounting or administrative staff, as applicable
  • Collaborate with firm leadership on financial planning and strategic initiatives
  • Assist with forecasting, profitability analysis, and cost control measures
Audit and Standard Implementation
  • Perform monthly audits of all accounts to ensure all GL accounts are in balance with Balance Sheet.
Qualifications
Required
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
  • 3–5 years of financial management or accounting experience; professional services environment; law firm experience preferred but not required.
  • Strong knowledge of legal trust accounting and law firm billing practices
  • Proficiency with accounting software and legal practice management systems
  • Excellent organizational, analytical, and problem-solving skills
  • High level of integrity and discretion when handling confidential information
Preferred
  • Experience with IOLTA or client trust compliance
  • Supervisory or management experience
  • Familiarity with state bar financial rules and legal ethics requirements
