Overview of the role

The Lease Administration Coordinator will be part of the Real Estate department working with the Lease Administration, Tax, and Real Estate Legal teams. Daily tasks include maintaining lease document tracking reports, opening, reviewing, and distributing mail, scanning and filing lease documents, tracking lease documents through abstraction process, and other projects as assigned. The individual will work closely with internal and external teams related to business licenses and permits.


Responsibilities
  • Act as secondary point of contact for Lease Administration for internal team members, outsourced providers, and third-party vendors for business licenses.
  • Track applications through signature and submittal processes (annual reports, lease documents, business licenses).
  • Provide supporting documentation to auditors, including lease copies, approval forms, and payment support.
  • Track, code invoices for payment, and distribute checks/payment information.
  • Enter and track fully executed lease documents and approval paperwork.
  • Manage the annual Canada recycling program.
  • Use Oracle to track payment information and generate reports.
  • Assist legal team with coding and submitting legal invoices.
  • Maintain and organize legal files, including scanning, filing original signed documents, and maintaining physical files.
  • Perform various administrative tasks to support the lease administration team.
  • Complete special projects as assigned.

Criteria
  • Accounting degree preferred.
  • Experience in business licenses, permits, and administrative work, with 1-2 years in a fast-paced corporate environment.
  • Well-organized with high attention to detail and responsiveness.
  • Ability to manage shifting priorities independently.
  • Excellent verbal and written communication skills.
  • Proven ability to interact effectively across teams and management levels.
  • Self-starter with problem-solving skills, creativity, and strong analytical abilities.
  • Customer service orientation and teamwork skills.
  • Proficiency in MS Office, especially Excel.
  • Strong math and written communication skills.
  • Knowledge of French is a plus.
  • Ability to work onsite in specified offices, following health guidelines during and after COVID-19.
