The Lease Administration Specialist is responsible for recording and maintaining up-to-date, accurate, complete and consistent lease database to secure cost effective and proactive operational and financial portfolio management for the occupier clients. This resource will also be providing support in managing and processing rent payments, reconciling payments and charges and ensuring accuracy and compliance with lease agreements and company policies.Job Description
About the Role:
Lease and Data Management: Review and abstract real estate leases and related documents, maintain property databases, and ensure accurate lease data entry and updates in line with internal SLAs.
Financial Oversight: Verify, reconcile, and process property invoices, manage expense adjustments, and conduct audits of CAM, insurance, and tax reconciliations to ensure compliance with lease terms.
Client and Landlord Relations: Resolve disputes with landlords, recover overcharges, and communicate irregularities to clients while ensuring timely and accurate billing and reporting.
Team Coordination and Leadership: Support junior teammates, manage workload distribution, assist in training new joiners, and act as a backup for the line manager when needed.
Performance and Strategy: Drive contract performance reporting, support strategic initiatives, ensure delivery within contract scope, and contribute to continuous improvement and data integrity efforts.
About You:
Bachelor’s degree required with at least 5 years of work experience; background in corporate real estate, lease administration, or invoice processing is a plus.
Proficient in data abstraction and highly skilled in Microsoft Office tools.
Strong written, verbal, and presentation skills.
Able to work independently and collaboratively, building effective relationships across teams.
Motivated team player capable of engaging across a matrix organization at all levels and regions.
