Job summary

Spinoso Real Estate Group is seeking a Lease Administration Analyst to support the daily operation of our lease administration team in Syracuse, NY. This entry‑level role emphasizes accuracy, monthly rent processing, and maintaining lease documents.

You will work with multiple departments to ensure timely reporting, monitoring critical dates, and accurate rent charges while developing financial and lease analysis expertise in a growing retail real estate organization.

Qualifications

  • Requires an Associate’s or Bachelor’s degree in Accounting, Finance, Business, Real Estate, or related field OR 1–2 years of relevant experience.
  • Strong attention to detail with financial and lease-related data.
  • Proficiency in Microsoft Excel and ability to manage multiple priorities.

Responsibilities

  • Abstract, interpret, and maintain tenant lease documents and review lease-related transactions.
  • Track critical lease dates and reconcile rent, CAM, taxes, and other charges.
  • Prepare rent variance analyses, budgets, and financial forecasts.
  • Process monthly tenant billings, rent rolls, and reconciliations; analyze ledgers and collect arrears when needed.

Summary

The duties of the Lease Administration department involve abstracting lease documents, tracking critical dates, analyzing tenant conditions, coordinating the monthly rental charge process, reconciliation audits and other projects/analysis as needed. This is an entry level position requiring daily presence in a corporate office environment located in Syracuse, NY.

  • Ensure all lease-related transactions (monthly rent, insurance, CAM, taxes) are reviewed and properly recorded.
  • Abstract, interpret, and maintain tenant lease documents.
  • Be able to analyze leases and gather thoughtful conclusions to be able to relay the interpretation to senior management.
  • Prepare rent variance analysis for monthly reporting and annual budgeting.
  • Prepare financial forecasts, budgets, and annual reconciliations.
  • Process tenant legal documents to ensure that all charges and lease terms are accurate at all times.
  • Perform monthly tenant billings, rent roll changes, rent projections and tenant reconciliations.
  • Analyze account ledgers and initiate contact with tenants to collects arrears and/or reconcile outstanding balances.
  • Apply basic ledger functions such as payments and charges.
  • Ability to understand and interpret complex lease language and data.
  • Track critical dates as they pertain to the lease-related clauses and landlord deadlines.
  • Resolve landlord/tenant issues that relate to lease language and rent charges.
  • Coordinate with corporate employees as wells as mall staff to ensure accurate information is being gathered and communicated.
  • Review and analyze reports to ensure that monthly reporting is accurate and concise.
  • Able to fulfill duties while adhering to strict deadlines and prioritize multiple tasks.
  • Assist in special projects as assigned.
  • Positively and proactively collaborate with all Company members to enhance leasing and marketing of mall properties and deliver exceptional service to our constituents.
  • Maintain Client confidence and protect operations by keeping proprietary information confidential. Perform other duties as required.

Qualifications

Required

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business, Real Estate, or a related field OR 1–2 years of relevant professional experience.
  • Strong attention to detail and ability to work accurately with financial and lease-related information.
  • Strong analytical and problem-solving skills, with an interest in developing financial analysis and lease administration expertise.
  • Proficiency with Microsoft Office, including Excel.
  • Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently while also collaborating effectively with team members and other departments.

Preferred

  • 1+ year of experience in an office, administrative, accounting, finance, or other professional business environment.
  • Experience working with financial information, including ledgers, accounts receivable, payments, charges, or reconciliations.
  • Experience using Excel for financial analysis, reporting, or data management.
  • Experience reviewing, interpreting, or working with contracts, leases, legal documents, or other detailed documentation.
  • Previous experience in commercial real estate, property management, or lease administration.
