Lead Veterinary Client Service Representative (CSR)
Alameda Pet Hospital | Alameda, CA
Who We Are

We’re Alameda Pet Hospital, a well-established, privately owned veterinary clinic just off Park Street in Alameda. We care deeply about every pet, client, and teammate who walks through our doors. We value honest, kind communication, teamwork, and continuous improvement.

We’re seeking an experienced Lead Veterinary Client Service Representative (CSR) to help guide our front-desk team and create an exceptional experience for our clients and their pets. The ideal candidate has previous leadership experience or is an experienced veterinary CSR ready to take the next step in their career.

We’re looking for someone who is organized, dependable, proactive, and confident in a busy environment. You bring warmth and professionalism to client interactions, take initiative, and understand that a well-run front desk is essential to a successful veterinary hospital.

Why You’ll Love Working Here
  • No weekends: Enjoy your Saturdays and Sundays off!

  • A supportive team: Work alongside teammates who value collaboration and mutual respect.

  • Wonderful, loyal clients: Build meaningful relationships with people who appreciate the care we provide.

  • A convenient Alameda location: Just off Park Street, near local shops and restaurants.

  • Privately owned and non-corporate: Be part of a practice where personal relationships, thoughtful decisions, and quality patient care matter.

  • An opportunity to lead: Help develop your team and improve daily front-desk operations.

What You’ll Do

As the first point of contact for our clients, you’ll help set the tone for their entire visit. You’ll perform the duties of a veterinary receptionist while providing day-to-day leadership, guidance, and oversight of the front-desk team.

  • Client service: Welcome clients and pets warmly, manage phone calls and other communications, schedule appointments, coordinate check-ins and checkouts, and handle routine client questions and prescription refill requests.

  • Patient flow and workflow: Coordinate with veterinarians, technicians, and support staff to keep appointments, patient flow, and daily operations running smoothly.

  • Client concerns: Resolve routine questions and scheduling challenges professionally, research solutions, and **escalate** complex or sensitive matters to management when appropriate.

  • Daily operations: Monitor phones, emails, texts, inboxes, voicemails, follow-ups, and other time-sensitive tasks to ensure timely communication and completion.

  • Team coordination: Guide daily priorities, delegate tasks, coordinate breaks and lunches, and maintain appropriate front-desk coverage during busy periods.

  • Training and mentoring: Onboard and train new and existing CSRs, provide coaching, reinforce best practices, and help team members develop their skills.

  • Policies and accountability: Reinforce hospital procedures and service standards, address workflow concerns constructively, and help ensure consistent performance across the team.

  • Communication and collaboration: Serve as a link between reception staff, doctors, technicians, and management. Communicate updates, identify recurring problems, and recommend practical improvements.

What We’re Looking For
  • At least 2 years of veterinary reception, client service, or administrative experience in veterinary medicine or animal care.

  • Previous leadership, supervisory, training, or mentoring experience—or demonstrated readiness to step into a lead role.

  • Strong organizational skills and the ability to manage competing priorities in a fast‑paced environment.

  • Clear, respectful communication and sound judgment, especially under pressure.

  • Confidence in problem‑solving and making decisions within established policies and procedures.

  • Dependable attendance, punctuality, and consistent follow‑through.

  • The ability to coach teammates, reinforce expectations, and support accountability while maintaining positive working relationships.

  • A proactive, team‑oriented attitude, attention to detail, and willingness to help wherever needed.

  • A genuine love for cats and dogs (equally!) and a commitment to compassionate client service.

Leadership Expectations

The Lead CSR is expected to lead by example, setting a consistent standard for professionalism, reliability, work quality, and communication.

You should be ready to take ownership of daily responsibilities, arrive on time and be prepared to work, maintain a calm and solution‑oriented presence, and address challenges proactively. You’ll support your teammates while reinforcing expectations fairly and respectfully, balancing leadership responsibilities with hands‑on reception duties.

This role requires someone who understands that leadership means more than experience or seniority. It means taking initiative, following through, supporting the team, and helping the front desk operate smoothly and consistently.

Schedule and Pay
  • Employment: Full‑time, hourly

  • Schedule: Monday–Friday, 7:45 a.m.–6:00 p.m.

  • Weekends: No weekend shifts

  • Compensation: Based on veterinary CSR experience, qualifications, and leadership experience.
