Job summary

Playwrights Horizons is seeking a highly organized individual to help manage Playwrights Downtown’s space while serving as a first point of contact. You will greet guests, coordinate bookings, and document weekend operations in a creative environment.

The role is part-time (up to 12 hours per week) with brief duties across reception, basic maintenance, and on-site support. Spanish is a plus and you will collaborate with the Operations Coordinator and Facilities Manager.

Qualifications

  • Experience greeting guests and managing front desk duties.
  • Ability to lift 50 lbs and perform light maintenance.
  • Proficient with computers/tablets and common software.
  • Spanish language is a plus.
  • Part-time availability up to 12 hours/week.

Responsibilities

  • Provide reception needs for studios, answer phones/emails.
  • Greet and check in guests, coordinate space bookings.
  • Route mail and deliveries.
  • Enter client information in the database.
  • Monitor client accounts, billing, and deposits.
  • Perform basic space maintenance.
  • Provide basic A/V and lighting support.
  • Collaborate with Operations Coordinator and Facilities Manager.

Job description

Playwrights Horizons is a writer's theater dedicated to the support and development of contemporary American playwrights, composers and lyricists, and to the production of their new work, and Playwrights Downtown is a facility that houses Playwrights Horizons Theater School and Playwrights Downtown Studios.

Operations Coordinator

Position Summary:

We are seeking a highly organized and responsible individual to help manage Playwrights Downtown’s space while serving as a first point of contact. Ideal candidates will provide structure, seamless communication, and organization in a creative environment, be comfortable greeting and communicating with guests and staff members, documenting weekend operations and will take initiative with trouble-shooting problems. This is a part-time position, with availability up to 12 hours per week throughout the year.

Responsibilities
  • Provides reception needs for the studios, including answering phones and emails, greeting and checking in guests, coordinating space bookings for clients
  • Receives and routes mail, packages, and deliveries
  • Serves as a point of contact and support for students, faculty and renters while on site
  • Manages and enters client information in database, including following up with renters
  • Monitor client accounts and oversee client billing, reporting and deposits
  • Performs minor maintenance duties through the space, such as emptying trash, stocking restroom supplies, changing light bulbs, etc
  • Provide basic A/V and lighting support to renters or those using the spaces
  • Works collaboratively with the Operations Coordinator and Facilities Manager in the daily operations of the rehearsal studios
Qualifications:
  • Ability to lift 50 lbs., climb ladders, and perform manual labor as needed
  • Comfortable conducting business over the phone as needed
  • Proficient using computers, tablets, and applicable software
  • Experience in Google Workspace, database management or CRM a plus
  • Ability to troubleshoot basic plumbing, electrical, AC issues, theatrical lighting & sound a plus
  • Highly motivated self starter with a keen eye for detail
  • Ability to multitask, work under pressure, and meet deadlines
  • Ability to interact with diverse populations, including undergraduate aged students and a wide variety of rental clients
  • Proficiency in Spanish, a plus
Compensation:

$23 per hour
