JOB SUMMARY:
- Responsible for directing the overall office operations, including planning, coordinating, and administering the Medical Records department.
QUALIFICATIONS:
- High school diploma or equivalent; some college preferred.
- Knowledge of administrative practices, procedures, and guidelines.
- Accurate typing, filing, and record-keeping skills.
- Good communication skills.
- Ability to read, write, and speak English clearly.
- Ability to make independent decisions and remain calm during emergencies.
- Tactful interaction with residents, families, visitors, staff, government agencies, and the public.
- Leadership qualities and ability to work harmoniously with others.
- Patience, tact, enthusiasm, and a cheerful disposition.
PHYSICAL REQUIREMENTS:
- Ability to move intermittently throughout the day.
- Ability to cope with mental and emotional stress.
- Senses of sight and hearing, or appropriate prosthetics, to meet job demands.
- Ability to work independently, with flexibility and integrity.
- Good health and emotional stability.
- Ability to work with ill, disabled, elderly, emotionally upset, and sometimes hostile individuals.

ESSENTIAL FUNCTIONS:
- Review and recommend revisions to policies, procedures, and job descriptions annually.
- Adhere to departmental policies and dress code.
- Meet regularly with reception staff to improve service and address issues.
- Recruit, interview, and select personnel with approval from the Administrator.
- Schedule work hours, personnel, and assignments to ensure efficiency.
- Complete performance evaluations promptly.
- Conduct daily rounds of the reception area to ensure duties are performed correctly.
- Answer and screen calls courteously, relay messages promptly.
- Greet visitors, ensure signing in procedures are followed.
- Maintain files, records, equipment, and supplies.
- Prepare reports, correspondence, and other documentation as directed.
- Manage mail and fax communications.
- Send reports to relevant agencies.
- Maintain cordial relationships with residents, staff, visitors, and agencies.
- Perform other related duties as assigned.
