Job summary

Holy Family Institute seeks a RN supervisor to oversee the health services for children in care and coordinate timely medical care across pediatric, adolescent, and migrant health programs.

You will supervise Medical Coordinators, train staff on medical topics, and ensure HIPAA-compliant records, emergency response planning, and care coordination across units. Bachelor's-level RN or higher qualifications are required, with Act 33/34 and FBI clearances and PA driver’s license preferred.

General Statement of Duties: Responsible for overseeing health services as well as coordinating the provision of timely, appropriate health services for children in care. They supervise other Medical Coordinators and provide appropriate staff training on medical, dental, and public health topics relevant to pediatric, adolescent, and migrant health. They are responsible for developing and maintaining policies and procedures for confidential health record management, triage of health concerns, medical emergency response, environmental health and safety, and post-release health care planning/care coordination.

Essential Duties and Responsibilities:

• Promotes the Mission and Philosophy of Holy Family Institute
• Maintains oversight of the medical department to ensure compliance with regulatory requirements, accountability of staff, and quality outcomes related to care of the UCs.
• Ensures timeframes are met for assessments, appointments, and pending items related to medical care
• Completes and follows up on incident reporting for UCs (internal and external reporting)
• Understands and follows the state and federal regulatory requirements.
• Creates evaluations, improvement plans, corrective actions, etc. for personnel matters as well as regulatory and policy expectations.
• Oversee and assist as needed with scheduling of appointments with providers
• Provides printed, concise directions to providers and treatment facilities to all transporters
• Provides appropriate role modeling for direct reports as well as the other staff on campus.
• Notifies staff and UCs of upcoming appointments through distribution of medical schedule to all units
• Explains the services to be provided to the UC prior to the appointment
• Maintains professional communication with providers regarding children’s needs and follow up recommendations
• Assures medical appointment form is thoroughly completed with up- to-date information regarding medications, allergies, and insurance information
• Writes reports to clearly indicate the reason for the appointment, the attending medical personnel, treatment received, the treatment prescribed, medication prescribed, and when follow-up is needed
• Maintains confidentiality regarding medical information in compliance with HIPPA regulations
• Submits a single TAR (Treatment Authorization Request) to the Division of Immigration Health Services to request authorization for the initial intake screening
• Assures Medication Administration Records (MAR) are accurate and up to date
• Participates in all required agency and regulatory trainings within expected time frame.
• Works collaboratively with staff, children, families, service providers, and others.
• Promptly reports civil or criminal convictions, charges, arrests, investigations, or adjudications that may arise since staff member’s last background investigation. This includes but is not limited to sexual abuse in a prison, jail, holding facility, community confinement facility, juvenile facility, other institution (as defined in 42 U.S.C. 1997), or care provider facility; conviction of engaging or attempting to engage in sexual activity facilitated by force, overt or implied threats of force, or coercion, or if the victim did not consent or was unable to consent or refuse; or who was civilly or administratively adjudicated to have engaged in such activity.
• Completes other duties as assigned by supervisor.

Requirements:

• Licensed Registered Nurse (RN) with a Bachelor’s; OR Higher health-related qualification (e.g. Physician Assistant, Nurse Practitioner)
• Minimum of 1 year of employment in public health or a healthcare setting with demonstrated experience in care coordination, health administration, or direct clinical care.
• Must have Act 33/34 and FBI clearances and valid PA driver’s license
• Must be at least 21 years of age
• Ability to remain calm and composed under stress
• Ability to safely and successfully perform essential job functions consistent with the ADA, FMLA, and other federal, state and local standards
