A leading healthcare provider in New Jersey is seeking a Lead Medical Assistant to oversee daily clinical operations and collaborate with practice management. The role involves coordinating patient care, managing health coaching efforts, and ensuring compliance with health regulations. Candidates should possess experience in medical assistance along with current certifications, making this a vital role in enhancing patient care efficiency.
The Lead Medical Assistant (MA) collaborates with the Practice Manager to provide oversight for the daily functions of Medical Assistants. The Lead MA will act as a liaison between staff and management focusing on coordinating the clinical operations of the practice, Panel Management, Patient Education and Health Coaching. This individual will also perform or have oversight of POC testing, Vaccine Management, Safety rounds, Sample Medications, Annual Competencies and staff education. The Lead Medical Assistant functions as a resource to other clinical and non - clinical staff. The Lead MA will bring forward operational issues and actively participate in process improvement initiative
Position Responsibilities:
Coordinates Chart Review/ Pre-visit planning efforts, ensuring all recent clinical documents are available at the time of visit, including: test results, specialist consults, discharge summaries etc.
Collaborates with Practice Manager to conduct Daily Huddles and Weekly Care Team meetings, in which the team will review practice population health data to improve care and achieve practice goals.
Provides oversight to patient flow by ensuring Medical Assistants efficiently perform the duties below:
Prepare patient for exam by obtaining and documenting vital signs, chief complaint, and preparing patient for provider exam.
Prepare exam room as required based on chief complaint.
Perform phlebotomy and obtains specimens for processing.
Administer vaccines and complete required documentation.
Perform diagnostic tests such as EKG, Pulmonary Function, etc. as directed and under the supervision of the physician.
Screen and direct patient calls according to established protocol.
Contact patients regarding prescriptions and testing results as directed by and under the supervision of the physician.
Coordinates Population Health efforts:
Panel Management: Combs Value Based clinical registries to identify and contact patients with care gaps—overdue services such as, mammograms, immunizations, laboratory tests for diabetes mellitus and annual wellness visits etc.
Leads patient education efforts; supports and trains Medical Assistants in effectively delivering education to patients.
Leads self-management efforts for patients with chronic conditions, providing ongoing training and support to Medical Assistants with regard to health coaching and motivational interviewing.
Under direction of clinician coordinates Transitions of Care:
Ensures outreach to patients within 48 hours of Hospital discharge or within 7 days of ED Visits – schedules follow-up visits as appropriate.
Facilitates hospital and other records into the EMR prior to visit.
Collaborates with Practice Manager to Coordinate Clinical Operations:
Oversees daily regulatory testing as required and documents accordingly, to ensure that clinical equipment is accurate and compliant. Serves as Point of Care representative for the office. Responsible for Vaccine Management.
Oversight of all state reports, logs and vaccines to ensure compliance.
Required Experience
1-3 years of medical assistant experience in a physician's office.
Required Education
High School Diploma or Equivalent.
Graduate of an accredited Medical Assistant program.
Training/Certification/Licensure:
Current certification as a Medical Assistant.
BLS Certification from American Heart Association or American Red Cross Required.
