Position Title: Lead Medical Assistant

Position Control Number: S03991

Job Summary: Provides assistive care to research patients and the Clinical Trials team. Assists with clerical and administrative functions as a multi-skilled auxiliary worker.

Required Qualifications: 2 – 3 years prior experience in a medical office environment. Knowledge of medical terminology and various types of medical testing equipment or devices. Ability to communicate effectively with patients and staff. Prior clinical research experience helpful, but not required. At least Medical Assistant Certificate from an accredited course of study is required or other relevant healthcare profession (i.e., nursing). BA/BS in health science helpful but not required. BLS certification.

Preferred Qualifications:

Key Responsibilities:

  1. Performs all responsibilities as delegated by University Research administration and individual Principal Investigators.
  2. Coordinates and participates in investigator/study team meetings.
  3. Protocol Management:
    - Develop and coordinate subject treatment schedule, space, and supplies with appropriate personnel
    - Recruit subjects for assigned studies, to include determining subject population availability (chart reviews), advertising venues, and review of study information with potential subjects
    - Manage subject data records and regulatory binders
    - Responsible for coordinating subject visits, collecting blood, appropriate processing of specimens, shipping of specimens and ensuring medication dispensing/supplies/incentives is carried out and documented appropriately
    - Complete investigational product accountability documentation, and ensure product accountability is accurate if indicated.
    - Manage data collection, ensure all AEs are identified and reported appropriately.
    - Enter required data on paper, spreadsheets or electronic CRFs, audit records for accuracy, resolve discrepancies, and correct as necessary.
    - Coordinate visits with external monitors and internal quality assurance to assure compliance with protocol, SOPs, regulations, and guidelines.
    - Collect, organize and maintain all essential documents required for study regulatory files.
  4. Ensure research equipment is properly maintained/calibrated.
  5. Monitors the progress of research activities; develops and maintains records of research activities, and prepares periodic and ad hoc reports, as required by investigators, administrators, funding agencies, university and/or regulatory bodies.
  6. Willing to be flexible in work hours as required by the specific study.
  7. Willing to travel to outside clinics/hospitals/meetings as required for individual studies.
  8. Other duties as assigned: The University/College has the right to add or change certain duties at any time.
  9. Providing outreach and information to potential research participants and potential referral sources in the community.
    - Familiarizing potential subjects with ongoing research studies
    - Attending community events/health fairs to promote clinical research studies at WesternU
    - Reach out to community clinics to promote clinical research at WesternU
    - Develop advertising/recruitment materials to promote clinical research at WesternU
    - Identify opportunities to advertise in the community
    - Chart review/database search to identify potential research subjects.
    - Serve as a liaison between the community and clinical research at WesternU
    - Serve as a resource to clinicians and health care staff both within WesternU and the community regarding clinical research at WesternU.
    - Do presentations to community groups about clinical research opportunities at WesternU
  10. Medical assistant duties:
    - Prepares patients for examinations and diagnostic procedures according to clinic procedures such as recording temperatures, pulse rate, blood pressure and responses to standardized medical history questions, including allergies to medications and/or foods.
    - Reports all observed patient concerns and changes in condition to a licensed staff member.
    - Performs Clinical Laboratory Improvement Amendments (CLIA) Waved Lab tests such as urine dip stick, Hgb, Hct, finger stick glucose, hemoccults, HCG, A1c and reports results to a licensed staff member. May perform patient phlebotomies in accordance with clinic policies and procedures and physician orders after specialized training.
    - Performs specialty skills such as suture removal and injections (IM, subcutaneous and intradermal). Perform administration of by mouth medication with proper supervision of the licensed staff member. Wound care and dressing changes.
    - Acts as a chaperone for health care providers during patient examination as requested and assists with procedures.
    - Monitors and cleans assigned patient examination rooms, unit areas and unit equipment reporting outdated supplies, stock levels and restock set levels of items and necessary equipment repairs.
    - May apply leads and monitors for diagnostic procedures such as EKGs
    - Travel to patient’s home and/or group home; May or may not be accompanied by licensed provider.
    - Answers telephones, forwards telephone messages, schedules appointments, procedures and diagnostic tests.
    - Assists in routine clerical functions such as scanning of medical information in patient’s electronic medical records, obtaining medical records from other providers and entering charges for billing purposes.
    - Attends and completes mandatory in-services including but not limited to, WesternU Patient Care Center Orientation, HIPPA, infection control, safety, CPR, equipment usage and department policies and procedures.
    - Orders supplies/checks for outdated supplies.
