Job summary

Cox Fleet, headquartered in Indianapolis, is hiring a Lead Fleet Services Coordinator to support growth. You will manage the follow-up maintenance transactions lifecycle from origination to custody by the repair technician, coordinating with field operations.

The role requires strong communication, organization, and Excel skills to maintain documentation and schedule preventative maintenance, while building positive relationships with internal teams and customers.

Qualifications

• Minimum 7 years in a related field, HS diploma or higher with alternative qualifications accepted.
• Excellent verbal and written communication; able to interact at all organizational levels.
• Proven cross-functional collaboration and trusted partner to teammates.
• Strong organizational skills and ability to balance multiple tasks.
• Proficient with Excel and data entry; able to learn Cox Fleet IT systems.

Cox Fleet is currently hiring a Lead Fleet Services Coordinator to support the growth of the company.

Duties & Responsibilities:

• Managing the follow up maintenance transactions lifecycle from origination until the customer unit is in control/custody of the repair technician
• May oversee assigned projects.
• With limited supervision, exercises judgment on advanced or complex issues.
• Timely and accurate documentation and notation in all Cox Fleet systems regarding each customer contact
• Providing excellent customer service for all internal and external customer calls
• Be professional and establish positive customer rapport
• Obtain customers approval for all repairs and services to be performed
• Proactively contact customers to schedule preventative maintenance at regular intervals, driving repeat business
• Partner and communicate consistently with Field Operations to schedule the right technicians to accounts, resulting in a positive customer experience
• Encourage customers to schedule repairs and maintenance in advance, creating a consistent pipeline of work for each supported technician
• Continuously develop and improve company capabilities in Dispatching and Service Scheduling
• Additional duties and special projects as assigned

Requirements:

• High School Diploma/GED and 7 years' experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 5 years' experience; or 9 years' experience in a related field
• Excellent verbal and written communication skills; Ability to effectively communicate at all levels of the organization.
• Proven track record to collaborate cross-functionally, build positive relationships and become a trusted partner to relevant cross functional partners.
• Excellent organizational skills and the ability to balance a variety of tasks.
• Strong Excel and data entry skills, and the ability to learn new platforms (such as Cox Fleet IT Systems, including Web Wrench, MobileFrame, RO Writer)
• Common knowledge of the trucking industry; experience with fleet maintenance or other transportation experience in automotive/trucking would be very helpful.
• Ability to work independently and collaboratively within a team environment.

• Highly organized with exceptional follow-through abilities

USD 24.23 - 36.35 per hour

Compensation:

Hourly pay rate is in the range of $24.23 - $36.35/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Benefits:

Employees are eligible to receive a minimum of 6.67 hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
