Job summary

DeHamer Landscaping is seeking a Construction Landscape Project and Sales Coordinator to guide landscape projects from initial contact through proposal, sale, and handoff to production. You will serve as the main communication hub among clients, sales, project management, and field crews.

Responsibilities

• Coordinate site measurements, takeoffs, photos, and field notes.
• Assist with estimating and designing landscape construction projects, including patios, walkways, retaining walls, grading, and drainage.
• Prepare professional proposals including scope of work, exclusions, and terms.
• Track proposal status through approval and signature.
• Coordinate project start dates, schedules, and timelines.
• Prepare and distribute complete job handoff packages, including signed contracts and proposals, site notes and photos, material selections, and client expectations.
• Communicate project details to Project Managers and On-Site Superintendent.
• Assist with production scheduling and coordination with operations.
• Monitor project progress and flag potential delays or issues.
• Serve as a point of contact for clients regarding scheduling and general project updates.
• Communicate pre-construction details and readiness information.
• Assist in resolving client questions or concerns by coordinating internally.
• Ensure expectations and changes are clearly communicated and documented.
• Maintain accurate project files (digital and/or physical).
• Track change orders, approvals, and updates.
• Assist with material ordering and delivery coordination.
• Request permits and utility locates where applicable.
• Support job costing accuracy (materials, labor assumptions, subcontractors).
• Assist with billing readiness, including deposits, progress billing, and project close-out.
• Generate reports related to sales, production, and project performance.
