Job summary

Oxbow Pool and Landscape Contractors is seeking a Project Coordinator to support our landscape and pool construction projects across the Bay Area. You will assist with documentation, proposals, contracts, permits, RFIs, submittals, procurement, scheduling, billing, and closeout.

The ideal candidate understands construction terminology, is highly organized, and can manage multiple active projects in a fast-paced environment. Proficiency with Procore, Bluebeam, AutoCAD, and MS Office is preferred.

Qualifications

• Experience supporting landscape/pool construction or related fields.
• Knowledge of construction documentation and workflows.
• Ability to read plans and organize project documents.
• Strong organizational and time-management skills.

Responsibilities

• Provide administrative and operational support to Project Managers and field teams.
• Assist with proposals, contracts, submittals, RFIs, and change orders.
• Coordinate project startup, handoff meetings, and documentation.
• Maintain accurate project files in company systems.
• Track permits, submittals, RFIs, change orders, and closeout docs.
• Schedule meetings, site visits, inspections, and other project-related appointments.
• Prepare agendas, meeting minutes, and follow-up items.
• Communicate professionally with clients, vendors, and internal teams.
• Assist in procurement, material tracking, and vendor coordination.
• Monitor schedules and milestones; ensure timely project progress.
• Support billing/documentation and project closeout processes.
• Maintain confidentiality of information.
