Qualifications

  • Experience in a law firm or professional legal services organization preferred.
  • Experience preparing court filings and legal documentation is highly desirable.

Responsibilities

  • Prepare, format, proofread, print, scan, and convert legal materials.
  • Prepare and electronically file legal documents in court procedures.
  • Perform conflict checks, prepare engagement letters, and assist with new client matters.
  • Maintain electronic and paper client files according to policies.
  • Manage attorney calendars, schedule meetings, and coordinate appointments using Outlook.
  • Coordinate business travel arrangements and submit expense reports.
  • Assist with attorney billing, time entry, and pre-bill review using billing software.
  • Collaborate with Practice Assistants to support multiple attorneys and groups.
  • Maintain confidentiality and adhere to policies and standards.
  • Perform additional administrative and legal support duties as assigned.

Job description

  • The Practice Assistant provides administrative and legal support to attorneys within the Labor & Employment practice group, ensuring the efficient management of legal documents, case files, and attorney workflows. This role is responsible for preparing and filing legal documents, managing attorney calendars and client matters, and providing administrative support to facilitate the timely delivery of legal services. The Practice Assistant plays a critical role in supporting attorneys, maintaining accurate records, and ensuring compliance with legal procedures and firm policies.
Key Responsibilities
  • Prepare, format, proofread, print, scan, and convert legal correspondence, pleadings, discovery documents, and other legal materials.
  • Prepare and electronically file legal documents in accordance with federal, state, and local court procedures.
  • Perform conflict checks, prepare engagement letters, and assist with opening new client matters.
  • Maintain both electronic and paper client files in accordance with document management and retention policies.
  • Manage attorney calendars, schedule meetings, monitor deadlines, and coordinate appointments using Microsoft Outlook.
  • Coordinate business travel arrangements through approved travel management systems.
  • Prepare and submit attorney expense reports.
  • Assist with attorney billing, time entry, and pre-bill (Proforma) review using legal billing software.
  • Collaborate with other Practice Assistants to provide administrative support across multiple attorneys and practice groups.
  • Maintain confidentiality while adhering to organizational policies, procedures, and professional standards.
  • Perform additional administrative and legal support duties as assigned.
Minimum Education & Experience Requirements
  • High school diploma or equivalent required.
  • Associate degree, legal studies coursework, or paralegal certificate preferred.
  • Minimum of one (1) year of experience supporting attorneys in a litigation or Labor & Employment legal environment.
  • Experience within a law firm or professional legal services organization preferred.
  • Experience preparing court filings and legal documentation is highly desirable.

  • Ability to maintain confidentiality while handling sensitive legal information.
  • Ability to meet multiple deadlines in a fast-paced legal environment.

Knowledge, Skills, and Abilities
  • Strong knowledge of legal document preparation, formatting, and filing procedures.
  • Proficiency with Microsoft Office Suite, including Word, Outlook, and Excel.
  • Experience using document management systems and legal billing software.
  • Familiarity with conflict management systems, client intake processes, and legal matter management.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and proofreading ability.
  • Ability to prioritize multiple assignments while meeting strict deadlines.
  • Strong interpersonal skills and the ability to work collaboratively within a legal support team.
