Job summary

The Salvation Army - Las Vegas Administration in Las Vegas, NV is seeking an Administrative/Logistical Coordinator for seasonal and full-time/temporary support. You will onboard bell ringers, schedule volunteers, and coordinate across stores, clubs, and groups while maintaining accurate records.

You will work with a volunteer coordinator and PR to organize events, manage time sheets, and ensure proper paperwork and property return at season end.

Qualifications

  • Administrative or Logistical Management Experience
  • Excellent knowledge of current Microsoft software programs (Word, Excel, PowerPoint, Publisher), email, Acrobat and Internet
  • Ability to learn and utilize The Salvation Army Kettle Management Software Program
  • Ability to create and manage schedules
  • Excellent interpersonal, telephone and communication skills, both written and verbal
  • Excellent detail, organization and file management skills
  • Ability to work in a team setting with other professionals
  • Ability to maintain a self-motivated and self-directed schedule, address multiple projects from start to finish
  • Ability to work with people of diverse backgrounds
  • Must possess a valid Nevada driver's license and pass a motor vehicle record check
  • Must pass a criminal background check

Responsibilities

  • Assist with the onboarding of seasonal bell ringers/Christmas Ambassadors
  • Coordinate, schedule and seek out volunteers and service clubs for various locations
  • Participate in training of bell ringers and drivers
  • Work closely with volunteer coordinator to ensure accurate scheduling of volunteers at the times they are available
  • Responsible for creating daily and weekly schedules for all bell ringers/Christmas Ambassadors and ensuring they all receive their weekly schedule the week before
  • Identify new kettle sites and secure all required paperwork, including property manager approvals and insurance certificates
  • Assist in meeting with store managers about scheduling, special needs and stand storage
  • Schedule special bell ringing events with groups such as businesses, service clubs, churches and schools
  • Review daily reports and make management decisions based on data
  • Distribute bells, aprons and jackets to bell ringers
  • Collect kettles at end of each shift
  • Collect and verify time sheets and enter them for processing
  • File time sheets and distribute pay checks when received
  • Ensure return of Salvation Army property at season end
  • Other duties as assigned

Qualifications
  • Administrative or Logistical Management Experience
  • Must be flexible and able to work in a highly fluid and stressful environment.
  • Excellent knowledge of and ability to use current Microsoft software computer programs, including Word, Excel, PowerPoint and Publisher, as well as e-mail, Adobe Acrobat and the internet
  • Ability to learn and utilize The Salvation Army Kettle Management Software Program
  • Ability to create and manage schedules.

  • Responsible for the distribution of bells, aprons and or jackets to bell ringers
  • Responsible for the collection of kettles at the end of each shift
  • Collect and verify time sheets
  • Enter time sheets in for processing
  • File time sheets.
  • Distribute pay checks when received
  • Ensure the return of all Salvation Army owned property at the end of the season
  • Other duties, as assigned
