Job summary

TeamPeople, a division of System One, is seeking a diligent Production Coordinator to act as a liaison between internal Production Department, clients, and external partners. You will assist in intake, schedules, resources, and administrative functions from concept to delivery.

Responsibilities include coordinating staff and client schedules, sending call sheets, tracking milestones, and maintaining media assets.

Qualifications

  • Degree in Video/Film Production, Communications, Marketing, or related field is required.
  • 2+ years office administration, communications, or exec assistant experience preferred.
  • Experience as a production assistant on-set in the video/film/advertising industry is preferred.

  • Coordinate staff and client schedules, project timelines, and pre-production meetings.
  • Send crew call sheets and shoot instructions to crew.
  • Generate weekly production status reports for current and upcoming projects.
  • Assist with maintenance and organization of digital media assets and equipment inventory.
  • Create timely production planning, tracking, and reporting.
  • Provide high level service to clients in a proactive, creative, and professional manner.
  • Conduct client asset administration including taxonomy and data entry for final assets.
  • Assist with studio and location shoots and local travel as needed.

Job description

Serve as a vital and key support member on a creative production team that is a liaison between an internal Production Department, internal clients and various external production partners and freelancers. Support management team and Producers by assisting in preparing intake, schedules, resources, and administrative business functions of productions from concept to delivery.

Pay Range: $50k-60k per year

Duties & Responsibilities
  • Work closely with department personnel in all aspects of logistical, operational and production coordination
  • Build productive working relationships with key internal technical partners, key stockholders, and internal clients
  • Coordinate staff and client schedules, project timelines, and pre-production meetings, including setting up, scheduling and owning internal meetings and agendas
  • Support crew communications, send crew call sheets and shoot instructions
  • Help manage project schedules, milestones, deliverables, to ensure projects are running on schedule
  • Generate weekly production status reports including current and upcoming production projects
  • Assist with the maintenance and organization of digital media assets and equipment inventory
  • Create timely and accurate production planning, tracking, and reporting
  • Work in the most proactive, creative, and professional manner to provide the highest level of service to clients
  • Conduct client specific asset administration including taxonomy, data entry for final assets
  • Assist with studio and location shoots, local travel as needed
Skills & Qualifications
  • A positive and proactive attitude and a willingness to jump in and help
  • Well-organized and capable of handling multiple assignments
  • Excellent verbal and written communication skills
  • Outstanding prioritization and organizational skills Proficiency in Microsoft Office, particularly Excel. Must be able to create and format spreadsheets, apply functions & formulas, merge & sort data
  • Familiarity with Adobe Creative Suite and similar production tools
  • Proficient with media and production terminology
  • Performs well and stays calm under pressure, while maintaining attention to detail and an appropriate sense of urgency
  • Ability to interface effectively with a variety of people including team personnel, clients, and vendors to establish productive, ongoing relationships
  • Strong results orientation to deliver seamless and timely services to customers
  • May require after-hours and weekend work
Education & Experience
