Job summary

Applied Research Solutions seeks an Administrative Support professional to provide a range of analysis and procedural competencies with increasing responsibility. This role requires familiarity with USAF systems and strong written communications.

You will support senior managers, manage files and communications, coordinate meetings, and assist program staff with background information for events and leadership approvals. The position emphasizes process improvement and cross-team collaboration.

Qualifications

• U.S. citizenship is required.
• Active Secret Clearance is required.
• Bachelor's Degree completed.
• 0–3 years of admin/clerical experience.
• Proficient with Microsoft Office (Outlook/Teams).
• Experience with video conferencing (Webex/Zoom).
• Understand day-to-day operational needs of customers.

Job description

The selected candidate will provide Administrative Support (e.g. provide a multitude of analysis, procedural competency and process improvement strategies with increasing levels of responsibility). Must have ATAAPS, DTS, other USAF business systems.

This includes but is not limited to staff support for the senior managers and members of the organizational staff, researching and compiling information pertaining to certain projects/topics, prepares factual, clear, concise, complete, and appropriately coordinated written communications.

Responsibilities Include:

• Provides support to the administrative and finance team, ensuring proper functioning of the organization.
• Manage office files, documents, and database to ensure organization and accessibility.
• Handle incoming and outgoing communications, including phone calls, emails, and correspondence.
• Coordinate meetings, appointments, and team schedules, ensuring timely and efficient planning.
• Assist senior staff as required, provide administrative support and assistance.
• Provides support by supplying the information and background for the preparation of program events.
• Drafts documents for the approval and signature of leadership. Disseminates program policy and specific initiative guidance for members of the organization.
• Coordinates, documents, monitors, and supports a variety of meetings and conferences to include, but not limited to, scheduling and set up of physical and virtual meetings.
• Prepares background information and invites required meeting participants ensuring documentation of the meetings are filed IAW organizational policy.
• Documentation may include but is not limited to attendance logs, minutes, and/or action items with corresponding action officers.
• Maintains scheduling documents and requirements for video and online conferencing set up and execution.
• This may include but is not limited to maintenance logs on equipment and the corresponding instructions on equipment set-up and meeting execution.
• Provides travel planning and execution support.
• Will perform other duties as assigned

Qualifications/ Technical Experience Requirements:

• Must be a U.S. Citizen
• Active Secret Clearance will be required
• Bachelor's Degree
• 0-3 years' experience providing administrative and clerical support
• Knowledge of Microsoft Office products, including Outlook and Teams
• Proficiency in video conferencing technology, including Video Tele Conference, Webex and Zoom
• Able to understand the day-to-day operational needs of customers and propose solutions that met user needs

The expected annual salary range: $50k - $65k. Salary is dependent upon the role and associated responsibilities, candidate's experience, and qualifications to include education/training, and key skills.
