Job summary

The Vermont Judiciary seeks a highly responsible Judicial Assistant to support court operations with specialized clerical, customer service, and case-processing duties across docket areas.

The ideal candidate will have prior administrative or clerical office experience, strong customer service skills, and the ability to manage multiple priorities while maintaining accuracy, confidentiality, and professionalism.

Responsibilities

  • Perform docket entry, case updates, filings, and prepare routine orders and documents for judicial review.
  • Support court hearings with real-time data entry and operate courtroom audio/video systems.
  • Provide courteous, informed public service while maintaining confidentiality and avoiding legal advice.
  • Apply statutes, court rules, and procedures to ensure compliance.
  • Monitor case flow and adjust workflow for timely case movement.
  • Follow cybersecurity protocols and safeguard sensitive information.
  • Complete financial tasks including collection of fines and fees, reconciliation of tills, and accounting documentation.
  • Interact with state agencies and use VCIC/VOWS databases to support case-related processes.
  • Assist juror program functions including summonses, excusals, and payments.
  • Participate in training and cross-divisional projects to strengthen operations.
  • Perform additional duties as assigned to support court operations.

Job description

The Vermont Judiciary seeks a highly responsible and detail-oriented Judicial Assistant to support the effective operation of the courts and uphold the Judiciary's commitment to providing fair, timely, and accessible justice. This position performs specialized clerical, customer service, and case-processing duties across one or more docket areas. Work requires accuracy, professionalism, and adherence to established rules, procedures, and statutory requirements.

Minimum Qualifications

Essential Duties
  • Perform specialized clerical functions including docket entry, case updates, processing filings, and preparing routine orders and documents for judicial review.
  • Support court hearings by performing operator functions such as real-time data entry and operating courtroom audio/video systems.
  • Provide respectful, informed customer service to court users by explaining court processes, directing individuals to appropriate resources, and assisting with general inquiries while maintaining confidentiality and avoiding legal advice.
  • Apply knowledge of statutes, court rules, and procedures established by the Court Administrator's Office to ensure consistency and compliance.
  • Monitor case flow using Judiciary case management tools and adjust workflow to promote timely case movement.
  • Follow cybersecurity protocols and safeguard sensitive information in alignment with Judiciary standards.
  • Complete financial tasks including collection of fines and fees, reconciliation of tills, and preparation of accounting documentation.
  • Interact with state agencies and utilize authorized databases (VCIC, VOWS) to support case-related processes.
  • Assist with juror program functions including summonses, excusals, and payments.
  • Participate in training, committees, cross-divisional support, and projects that strengthen Judiciary operations.
  • Perform additional duties as assigned to support consistent and effective court operations.

This position does not supervise other employees, provide legal advice, or perform the duties of a paralegal or law clerk. Employees may be assigned responsibilities across multiple court divisions and perform additional duties based on operational needs.

Work Environment

This is a full-time, permanent onsite position located in Rutland, Vermont. The role requires sustained attention to detail, extended use of technology, and the ability to remain composed and professional in a fast-paced setting.

Scheduled hours of work generally follow public court hours; however, assignments may occasionally extend beyond those hours based on operational needs. Occasional travel to other courts within the State of Vermont may be required, with travel reimbursed according to State policies.

The Judicial Assistant is a non-exempt Judicial Branch position equivalent to pay grade 21, with a step 1 starting rate of $25.08 per hour.
