Job summary

Indiana University Bloomington's Jacobs School of Music seeks an Administrative Programs Coordinator to oversee Academy programs and events, maintain calendars and materials, and act as a primary contact for routine Academy questions.

You will support enrollment, prepare reports, and coordinate communications with faculty, staff, and external partners in a busy, in-person department on the Bloomington campus.

Qualifications

  • High school diploma or equivalent required.
  • 4 years of related work experience preferred.
  • Proficient written and verbal communication skills.

Responsibilities

  • Coordinatess Academy programs, events, and logistical details.
  • Maintain program calendars, records, and other operational documentation.
  • Coordinate communications with participants, faculty, staff, and external partners.
  • Support enrollment/registration and participant communications.
  • Prepare reports and program materials.
  • Maintain and improve administrative processes and documentation.
  • Serve as a primary point of contact for routine Academy questions.
  • Support data collection and evaluation of Academy programs.
  • Conduct research and compile materials for department programs.
  • Prepare records of program activities; oversee timely processing of materials.
  • Review policies and procedures; suggest improvements; ensure compliance with university standards.
  • Analyze data and write reports based on generated information.
  • Verify data accuracy and resolve discrepancies.
  • Respond to requests for program information by staff, students, and faculty.

Job Summary

Department Specific Responsibilities

  • Coordinates Academy programs, events, and logisticaldetails.

General Responsibilities

  • Conducts research and compiles materials and information fordepartmental programs.
  • Prepares records of program activities; oversees and ensuresthe timely processing and delivery of required materials.
  • Reviews the policies and procedures involved in departmentalprograms; suggests improvements; and ensures that rules comply withuniversity standards.
  • Analyzes data and information generated or produced by program;writes reports and other written materials based on this data.
  • Verifies the accuracy of all data and information used orgenerated by program; resolves any discrepancies or problems.
  • Responds to requests for program information by staff,students, and faculty; handles any necessary correspondence.
  • Serves as liaison for department; coordinates activities andexchanges information.

Working Conditions / Demands

This role requires the ability to effectively communicate and tooperate a computer and other standard office productivityequipment. The position involves sedentary work as well as periodsof time moving around an office environment and the campus. Theperson in this role must be able to perform the essential functionswith or without an accommodation.
