TEKsystems in Carrollton, TX seeks a Facilities IT Project Coordinator to serve as the IT SME for Facilities, ensuring that every new practice opens with fully functional IT systems. You will partner with the IT department and Facilities team to secure competitive pricing, high quality service, and streamlined workflows.

This full-time, on-site role (4 days on-site, 1 day WFH) involves coordinating with vendors, managing budgets, and scheduling deployments across nationwide practice locations.

Qualifications

  • 3+ years of experience in IT support or IT project coordination.
  • Familiarity with low voltage/structured cabling and reading construction plans.
  • Experience with dental practice management software preferred (e.g., Dentrix, Eaglesoft).
  • Vendor management and SLA accountability experience.
  • Strong organization, documentation and communication skills.
  • HIPAA awareness and handling IT systems in healthcare.
  • Ability to travel to practice locations as needed; valid driver's license.
  • Experience with project management platforms (monday.com or similar) preferred.
  • Industry certifications such as CompTIA Network+, BICSI, or CAPM/PMP preferred.

Job description

Title: Facilities IT Project Coordinator

Department: Information Technology

Reports To: IT Operations Manager

Position: Full-Time W2

Location: Carrollton, TX (On-site 4 days per week, 1 wfh)

Travel: 30 to 50% to practice locations nationwide

Role

The Facilities IT Project Coordinator serves as the Facilities Department's IT subject matter expert, leading and advising on IT decisions across construction projects of every size. In this role, you will partner with the IT department and the Facilities team to secure competitive pricing, high quality service, and seamless workflows. You will work closely with the Facilities Project Manager, who leads new practice builds, relocations, expansions, and other facility-related projects, to execute a defined set of tasks that contribute to project and practice success. Your core objective is to ensure every practice opens on time with fully functional IT systems. You will be an active contributor and will be provided with the resources to help you succeed.

General
  • Participate in recurring Facilities and project meeting cadences, including weekly De Novo (new practice build), Relocation, and Expansion team meetings and weekly capex meetings (a significant recurring meeting cadence)
  • Meet biweekly with Facilities Leadership
  • Keep assigned monday.com tasks current and meet due dates
  • Communicate project status to the Facilities team as it relates to IT
  • Develop and maintain IT vendor relationships and workflows; engage only IT-approved, compliance-vetted vendors
  • Take detailed notes and store IT-related documents in project resource folders, SharePoint, monday.com, and other designated repositories
  • Provide information and insights to partner-owners and project teams regarding IT systems and processes
  • Prepare IT budget estimates and capital expenditure inputs for assigned projects
  • Complete required HIPAA and security awareness training and follow MB2 Dental IT and information security policies
  • Perform other duties as assigned
De Novos, Relocations & Expansions
  • Develop and regularly update the low voltage wiring plan for each project
  • Consult partner-owners and prepare IT quotes; collaborate with IT vendors as needed
  • Manage ISP and telecom deployments end to end, including circuit selection, contract initiation, site surveys, installation scheduling, and carrier escalations
  • Communicate IT equipment installation dates with vendors in collaboration with the assigned Facilities Project Manager
  • Manage workflow between IT vendors and MB2 Dental; hold vendors accountable to SLAs, review invoices against scope, and conduct vendor performance reviews with recommendations for future project use
  • Ensure each site is prepared for internet installs, phone installs, equipment installation, and imaging equipment calibration and setup; advise general contractors and Facilities on telecom provider requirements, conduit needs, and telecom room preparation
  • Coordinate temporary connectivity solutions (e.g., cellular WAN/Cradlepoint) to protect opening dates when permanent circuits are delayed
  • Coordinate with IT infrastructure and application teams on practice management software environment preparation and server deployment staging ahead of equipment installation
  • Serve as the cross-functional escalation point among Facilities, construction, telecom, vendors, and IT leadership when construction delays, vendor performance, or service delivery issues threaten project timelines
  • Coordinate with IT Operations on endpoint standards, including security and remote management agent deployment and asset intake, prior to practice open
  • Perform site visits including pre-construction walks, relocation assessments, box walks, and quality review visits as needed
  • Ensure IT systems (phones, PCs, practice management software) are functional prior to the practice open date
Qualifications
  • 3+ years of experience in IT support, IT project coordination, or a related field
  • Working knowledge of low voltage/structured cabling and the ability to read construction plans
  • Familiarity with dental practice management software (Dentrix, Eaglesoft, Open Dental) preferred
  • Experience managing vendors and holding them accountable to SLAs
  • Strong organization, documentation, and communication skills
  • Working awareness of HIPAA and the handling of IT systems in a healthcare environment
  • Ability to travel to practice locations as needed
  • Valid driver's license required
  • Experience with project management platforms (monday.com or similar) preferred
  • Industry certifications such as CompTIA Network+, BICSI, or CAPM/PMP preferred
Work Environment & Physical Requirements
  • Site visits include active construction sites; must follow all site safety requirements and wear required personal protective equipment
  • Ability to lift and move IT equipment up to 50 pounds, climb ladders, and work in telecom and equipment rooms
  • Occasional evening and weekend availability around practice opening dates and go-live events
Collaboration & Communication
  • Collaborate daily with multiple teams of up to five people, multiple vendors, and practice partner-owners
  • Maintain thorough documentation and clear communication across all projects
  • Work proactively with the Facilities Project Manager to understand the comprehensive project process and support the team efficiently
  • Maintain inter-departmental communication and workflow through the Technology Account Manager (TAM) Specialist, helpdesk, and procurement

  • IT systems fully functional on or before each practice open date
  • Vendor SLA adherence and invoice accuracy on assigned projects
  • Consistent utilization of monday.com
  • Presence and participation in weekly calls
  • Timely execution of project deliverables
