Job summary

Moraine Valley Community College is seeking an IT Asset and Operations Specialist to manage the full lifecycle of IT assets, procure equipment, maintain software catalogs, and support help desk functions. Responsibilities

  • Maintain and track IT hardware, software, licenses, and related resources.
  • Oversee full lifecycle of IT assets: procurement, deployment, updates, maintenance, disposal.
  • Manage software catalog including OS, productivity tools, classroom/office apps, security software.
  • Assist with IT FOIA requests and reporting.
  • Maintain records of IT-managed devices, warranties, and locations.
  • Conduct regular inventory audits for IT and office equipment.
  • Use inventory and ticketing systems to track assets and ensure compliance.
  • Collaborate with procurement to acquire assets, obtain quotes, evaluate vendors, negotiate terms.
  • Maintain vendor relationships for hardware, software, warranties, and services.
  • Assist with budgeting, forecasting costs, and identifying savings opportunities.
  • Refresh IT and office equipment cycles; schedule replacements and maintenance.
  • Provide administrative support across departments as needed.
  • Assist with IT-related and office projects (labs/classrooms, event tech).
  • Support onboarding/offboarding and device reassignments.
  • Oversee secure disposal and data wiping, e-waste recycling per policy.
  • Assist with help desk requests including phone, chat, and ticketing support.
  • Maintain current documentation of procedures and configurations.
  • Perform other duties as assigned.

Duties

Under the direction of the Manager of Client Services, the IT Asset and Operations Specialist is responsible for the operational functions of the office and the full lifecycle management of IT systems and assets. This position ensures efficiency, compliance, and sustainability of office and IT operations by overseeing asset management, procurement, vendor relations, administrative support, project assistance, and reporting. The role supports lifecycle management (LCM) and assists with help desk requests, including phone support, ticket requests, chat support, and ticketing system management. It maintains IT resources and contributes to planning for IT and office operations, while managing IT assets such as hardware and software, handling quote creation and processing, reporting, inventory control, equipment recycling, and overall asset lifecycle support. The IT Asset and Operations Specialist is dedicated to the college learning concept by developing and implementing practices that ensure technology resources support student success and institutional goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  1. Maintain and track IT hardware, software, licenses, and related resources, ensuring compliance with organizational policies.
  2. Oversee the full lifecycle of IT assets, including procurement, deployment, updates, maintenance, and secure disposal.
  3. Manage and update the software catalog, including operating systems, productivity tools, classroom/office applications, and security software.
  4. Assist with IT FOIA request and reporting
  5. Maintain accurate records of IT-managed devices (laptops, desktops, servers, printers, AV tech) including assignments, warranties, and locations.
  6. Conduct regular inventory audits to ensure accountability of IT and office equipment.
  7. Effectively utilize the college’s inventory and ticketing systems to track, manage, and maintain IT assets, software, and equipment, ensuring accuracy, accountability, and compliance with institutional policies
  8. Partner with procurement to acquire IT assets, office equipment, and supplies, obtain quotes, evaluating vendors, negotiating terms, and ensuring cost-effective purchasing.
  9. Maintain vendor relationships for hardware, software, warranties, repairs, and services.
  10. Assist with developing budgets for IT and office operations, including tracking expenditure, forecasting costs, and identifying savings opportunities.
  11. Assist with refreshing cycles for IT and office equipment, scheduling replacements, upgrades, and maintenance in alignment with organizational needs and budget.
  12. Provide administrative support across departments, including scheduling, document preparation, and coordinating communications.
  13. Assist with IT-related and office projects (e.g., lab/classroom upgrades, office setups, event technology).
  14. Support HR and IT with onboarding/offboarding processes, ensuring proper return and reassignment of devices.
  15. Oversee secure disposal of IT and office equipment, including data wiping and e-waste recycling, in compliance with data protection and environmental sustainability requirements.
  16. Assists with help desk requests including phone support, ticket requests, chat support, and ticketing system management, supporting users and resolving technology issues.
  17. Maintain current documentation of procedures, guidelines, and system configurations.
  18. Perform other duties as assigned.
Education/Experience
  • Minimum of a High School diploma or general education degree (GED) required. Associate’s degree preferred.
  • Minimum of 1-3 years experience working in an end-user computing environment, and experience with PC and/or Macintosh microcomputers required. Must have a minimum of one full-time equivalent year of relevant experience. Please ensure it is noted on your resume.

  • ITIL Foundation Certification
  • Certified Hardware Asset Management
  • Professional (CHAMP) or similar IT asset management certification
