Qualifications

Responsibilities

  • Prepare US and PCT application filing papers (Declarations, Assignments, Powers of Attorney).
  • Draft US prosecution documents (Office Actions, petitions, corrected papers, fee submissions).
  • Draft PCT follow-on filings and responses.
  • Prepare instructions to foreign associates for national phase entries and ensure formality requirements are met.
  • Prepare US and foreign filing estimates and advance invoices.
  • Review incoming correspondence and take responsive action.
  • Coordinate with vendors for drawings and document legalization.
  • Provide backup trademark support including USPTO filings and updates.
  • Manage daily docketing for US/foreign patent and trademark matters.
  • Resolve docket issues and maintain deadlines.
  • Review weekly deadline reports and obtain required information from attorneys.
  • Support annuity management including payments and deadline tracking.
  • Conduct regular quality control audits of the docket database.
  • Perform additional duties as assigned by the IP Manager.

Pay Range: $85K-$95K

Schedule: Full-time | Monday-Friday, 9-5

Position Overview

A highly respected law firm is seeking a Docketing Administrator to join its Intellectual Property team. This role supports complex patent and trademark processes and offers the opportunity to build deep expertise in IP docketing, USPTO procedures, and global patent filings.

Key Responsibilities

The IP Docketing Administrator provides essential support to patent and trademark attorneys and senior paralegals, including:

  • Preparing US and PCT application filing papers such as Declarations, Assignments, and Powers of Attorney
  • Drafting US prosecution documents, including Office Action responses, petitions, corrected papers, and fee submissions
  • Drafting PCT follow-on filings, including responses to Invitations, Powers of Attorney, and other required communications
  • Preparing instructions to foreign associates for national phase entries and ensuring all formality requirements are met
  • Preparing US and foreign filing estimates and advance invoices
  • Reviewing incoming correspondence and taking responsive action
  • Coordinating with vendors for formal drawings and document legalization
  • Providing backup trademark support, including USPTO filings and correspondence updates
  • Managing daily docketing for US and foreign patent and trademark matters
  • Resolving docket issues and maintaining accurate deadlines
  • Reviewing weekly deadline reports and obtaining required information from attorneys
  • Supporting annuity management, including payments and deadline tracking
