Investment Operations Specialist/Client Service Specialist

We are seeking a Mid-level Financial Operations Associate for our fee-only wealth management firm in Melville, NY. The Operations Associate will join a well-established team supporting daily account maintenance, working closely with the Chief Investment Officer, Financial Advisors, and Client Services Teams.

The ideal candidate will thrive in a team-oriented, independent RIA environment, engaging in all aspects of the business, from onboarding to client service. Position Highlights

This role involves working with experienced financial advisors, providing back-office and operational support, and reporting directly to the CIO and Head of Wealth Management. Responsibilities include onboarding new accounts, managing retirement plans, maintaining portfolios, cash management, trade reconciliation, and ensuring client data accuracy.

Key Responsibilities
  • Assist in daily operations of the financial advisory practice
  • Open new client accounts and code accounts based on client features
  • Coordinate with clients and advisors to obtain necessary documents
  • Maintain complete records of client accounts and trades
  • Prepare and process trade corrections and ensure compliance documentation is accurate
  • Review documents for accuracy before scanning
Qualifications

Wealth Management experience is mandatory, as this is a junior to mid-level position with career growth opportunities. Candidates must have broker-dealer or custodian service experience.

Requirements include:

  • B.A. or B.S. degree in Financial Planning, Finance, Accounting, or Economics; MBA or advanced certifications are a plus
  • Strong work ethic, task-oriented, productive, capable of working independently and in teams
  • Excellent attention to detail and client service skills
  • Ability to prioritize and manage multiple tasks effectively
  • Knowledge of custodial platforms such as Schwab Advisor Platform and recordkeeping systems
