Description

Position Overview:

The Inventory and Purchasing Specialist plays a critical role in supporting the Operations team by managing the ordering, tracking, and distribution of inventory and materials. This role ensures timely procurement of essential parts and services while maintaining accurate inventory records. The ideal candidate will work closely with Operations leadership to ensure that technicians and field personnel have the tools and supplies needed to perform at their best.

Key Responsibilities:

  • Assist in sourcing and purchasing parts, supplies, materials, and services in accordance with company policies and approved vendor lists.
  • Create and process purchase orders (“PO”), ensuring accuracy in pricing, quantities, and delivery timelines.
  • Monitor and maintain inventory levels to ensure timely availability of materials without overstocking.
  • Receive, inspect, and record incoming inventory shipments; ensure accuracy against POs.
  • Track and reconcile inventory discrepancies, working closely with warehouse and field team members to resolve issues.
  • Maintain detailed and accurate inventory records in the inventory management system.
  • Assist with monthly and periodic cycle counts, inventory audits, and physical stock reconciliations.
  • Coordinate with vendors and internal stakeholders to ensure timely delivery of materials or execution of services and resolve any delivery or quality issues.
  • Support documentation efforts for purchase transactions and inventory usage, including check-in/check-out logs.
  • Communicate supply needs with internal departments and escalate shortages or delays to the Operations leaders and Inventory and Purchasing Manager.
  • Contribute to process improvements within the purchasing and inventory functions.
  • Ensure all technicians and mechanics are equipped with the necessary inventory and tools to complete their work effectively.
  • Support day-to-day shop activities, coordinating inventory and non-inventory materials with the Operations Manager and Supervisors.
  • Compare quotes and negotiate pricing with vendors to reduce costs.
  • Issue parts to work orders and trucks on a daily basis, maintaining accurate records of usage and stock levels.
  • Build and maintain positive relationships with team members, vendors, and stakeholders.

Skills and Qualifications:

  • Ability to proactively plan inventory needs and reduce issues related to poor forecasting.
  • Strong technical understanding of mechanical equipment, preferably Baseline’s systems.
  • Excellent communication skills—clear, respectful, and consistent across teams and vendors.
  • High awareness of safety standards and practices in daily operations.
  • Self-starter with flexibility to support a fast-paced, dynamic work environment.
  • Strong computer skills, including Microsoft Outlook, Excel, and Word.
  • High School Diploma or equivalent required; associate or technical training preferred.
  • 3–5 years of experience in purchasing, inventory control, or supply chain.
  • Experience with mechanical or field service inventory strongly preferred.
  • Inventory system experience required (e.g., ERP, inventory tracking software).
  • Proven ability to enforce strict inventory control measures.
  • Ability to lift and handle materials up to 50 lbs.
