Ocean State Air Solutions is seeking a detail-oriented Warehouse and Purchasing Coordinator in Portsmouth, RI. This full-time role combines office-based tasks with hands-on warehouse work to keep inventory, purchasing, and operations running smoothly.

You will manage purchase orders, coordinate with vendors, track materials, and support field teams to ensure timely access to parts and equipment. A 2+ year background in purchasing or inventory is preferred, with strong organization and computer

Qualifications

• 2+ years of experience in purchasing, inventory management, or warehouse operations.
• Experience ordering materials and coordinating with vendors.
• Strong organizational skills and attention to detail.
• Proficiency with computers and inventory software.
• Ability to maintain accurate records and generate reports.

Responsibilities

• Coordinate purchasing of HVAC equipment, parts, materials, and warehouse supplies.
• Create, track, and maintain purchase orders with pricing, quantities, and delivery information.
• Communicate with vendors regarding pricing, product availability, orders, and delivery schedules.
• Monitor inventory levels and order materials to maintain appropriate stock without overpurchasing.
• Receive incoming shipments, verify quantities and accuracy, and address discrepancies with vendors.
• Maintain accurate inventory records, purchasing documentation, and reports in company software.
• Organize, stage, and prepare equipment and materials for installations and service jobs.
• Coordinate with field technicians, managers, and office personnel to ensure materials are available when needed.
• Track material usage, returns, and excess inventory to minimize waste and control costs.
• Assist with loading/unloading deliveries and maintaining warehouse layout.
• Keep warehouse clean, safe, organized, and properly stocked.
• Coordinate material deliveries and occasionally transport parts or equipment to job sites as needed.
• Monitor tools and equipment to ensure maintenance and accountability.
• Identify opportunities to improve purchasing procedures, inventory accuracy, and warehouse efficiency.
• Maintain professional communication with vendors, coworkers, and customers.
