Job summary

NORTHWEST INDEPENDENT SCHOOL DISTRICT

Primary Purpose:

Coordinate and manage the procurement, inventory, organization, and distribution of materials, and supplies to support campus and departmental operations. Ensure accurate inventory tracking, timely ordering, efficient warehouse organization, and effective delivery of resources to campuses and classrooms while maintaining high levels of customer service and operational efficiency.

Qualifications:

  • Education/Certification:

    High School diploma, bachelor's degree in an accounting related field preferred.

    TASBO certification preferred

    Extensive experience with Microsoft Office Suite, especially Excel

    Knowledge of project planning and construction budgets

    Knowledge of warehouse operations, inventory control, logistics coordination, and material distribution processes

    Excellent hearing and vision

    Ability to read invoices and pay applications

    Strong organizational, communication, and interpersonal skills

    Forklift certified, or ability to gain certificate

Experience in warehouse operations preferred, inventory control, logistics coordination, and materials procurement, preferably in a school district environment. Experience with budget tracking, capital expenditures, bond-funded purchases, and construction-related materials preferred.

Major Duties and Responsibilities:

  • Generate requisitions/purchase orders, assign appropriate budget code, and process for distribution of funds.
  • Manage the receipt, storage, organization, and distribution of district materials, supplies, and instructional resources
  • Oversee daily warehouse operations to ensure efficient workflow, cleanliness, safety, and accurate inventory control
  • Maintain accurate inventory records using district systems, including tracking stock levels, usage, and replenishment needs
  • Coordinate procurement of materials and supplies, including preparing purchase requests, processing orders, and monitoring deliveries
  • Work closely with campuses, departments, vendors, and contractors to fulfill material requests in a timely and efficient manner
  • Assist in planning and coordinating logistics for deliveries, warehouse transfers, and campus distribution schedules
  • Receive, verify, and reconcile incoming shipments against purchase orders, invoices, and packing slips for accuracy
  • Support capital projects and bond-funded initiatives by tracking, ordering, and distributing materials and equipment as needed
  • Maintain organization of warehouse storage areas to ensure safe handling and efficient access to materials
  • Operate warehouse equipment such as forklift, pallet jacks, carts, and related tools in compliance with safety procedures
  • Prepare periodic inventory reports, including usage trends, stock levels, and procurement recommendations
  • Collaborate with accounting and purchasing departments to ensure proper coding, documentation, and budget alignment for purchases
  • Respond to campus and departmental inquiries regarding materials availability, delivery status, and special requests
  • Ensure compliance with district policies, purchasing guidelines, and applicable state and federal regulations
  • Compile, maintain, and file all physical and computerized reports, records, and other documents as required.
  • All other duties as assigned.

Supervisory Responsibilities: Supervise warehouse employees.

Equipment Used:

Personal computer, copier, calculator, electronic documentation, scanner, etc. Pallet Jack, forklift, carts and related warehouse tools

Working Conditions:

  • Site visits to construction sites may be required.
  • Prolonged sitting
  • Occasional bending/stooping, pushing/pulling, and twisting
  • Repetitive hand motions including frequent keyboarding and use of mouse
  • Occasional reaching
  • Occasional heavy lifting and carrying (up to 45 pounds)
  • May work prolonged or irregular hours
  • Work with frequent interruptions; maintain emotional control under stress
  • Ability to work in both warehouse and office environments
  • Ability to stand, walk, bend, stoop, and move throughout warehouse and campus locations for extended periods of time
  • Ability to operate standard office equipment and warehouse-related equipment as required
