You will collaborate with customers, sales, production, and freight forwarders to manage global moves from booking to final delivery. Key responsibilities include preparing export documents, entering orders into X3, and tracking shipments while maintaining precise records.

Responsibilities

• Coordinate international logistics via ocean, air, truck, parcel, and through freight forwarders.
• Prepare export paperwork: commercial invoices, packing lists, bills of lading, origin certificates, SLI, and DG declarations.
• Manage bookings, pickups, sailing calendars, and delivery requirements.
• Enter orders into X3 to confirm details, pricing, and ship dates; issue SOAs and notify stakeholders.
• Track orders end-to-end; document gaps and troubleshoot delays; coordinate with production and shipping/receiving.
• Assist with customs clearance and border issues with partners.
• Maintain customer master data with delivery preferences and shipping instructions.

Shape Every Shipment from Click to DeliveryJoin our front line of customer operations, where you orchestrate orders, documentation, timelines, and communications across customers, sales, production, logistics providers, and internal teams. Your work spans domestic and global movements, with a strong emphasis on export compliance and end-to-end coordination.Core Impact AreasInternational Logistics (25%)Coordinate global moves via ocean, air, truck, parcel, and through freight forwarders.Collaborate with freight forwarders, customs brokers, carriers, warehouses, and customers.Prepare and distribute required export paperwork:Commercial invoicesPacking listsBills of ladingCertificates of originShipper's Letters of Instruction (SLI)Dangerous goods declarations (as needed)Export and customs documentationCustomer- or country-specific documentationManage bookings, container needs, pickup appointments, sailing calendars, and delivery requirements.Track international shipments through final delivery; troubleshoot delays and document gaps.Keep meticulous export files and shipment records.Assist with customs clearance and border issues alongside customers and logistics partners.Domestic Order Management (75%)Enter orders into X3 immediately upon receipt to confirm delivery details, pricing, and ship dates; orders received before 4 PM are entered the same day.Send Sales Order Acknowledgements (SOAs) to customers after confirming ship dates; share all SOAs with the responsible sales rep by end of day.When a negotiated ship date is needed, coordinate with the sales rep and update X3 with the confirmed date.Notify finance and the sales rep if processing an order with a credit limit exception.Record exceptions in X3 right away for orders that are late or closed without invoicing.Obtain Commercial Leadership approval and process returns.Oversee each order from entry through shipment, coordinating professionally with production and shipping/receiving.Maintain customer master data (outside X3) with delivery preferences and shipping instructions.Drive order changes through effective communication with operations, commercial teams, and customers.What You BringHigh school diploma or GED (required); a degree or prior customer service experience with international shipping and order processing is preferred.Excellent communication skills and ability to interact across all organizational levels.Work Environment (Verbatim Policy)**Work Environment:**Work is typically performed in an inside, temperature-controlled environment.
