Job Title: Document Management Specialist

Location(s): Columbia, SC (Remote)

Job Overview

We are seeking a detail‑oriented and results‑driven Document Management Specialist to join our team. In this role, you will be responsible for retrieving and validating missing invoice data from utility providers across the U.S. and Canada. The position requires extensive outbound phone communication, strong data accuracy, and the ability to manage multiple accounts efficiently.

This role is ideal for professionals who are comfortable working independently in a remote environment while maintaining consistent collaboration with internal teams.

Key Responsibilities
  • Contact utility providers via phone (up to 8 hours per day), email, or fax to obtain missing invoice data.
  • Negotiate fee waivers or due date extensions when applicable.
  • Review, evaluate, and prioritize invoices based on key data points.
  • Accurately update internal systems with relevant billing information.
  • Maintain professional communication with external vendors and internal stakeholders.
  • Meet or exceed established performance metrics and KPIs.Participate in team chats and collaborate with colleagues and team leads.
  • Contribute to ongoing process improvement initiatives.
Qualifications

  • Proficiency in Microsoft Office Suite (Outlook required; Excel and Word preferred).

Experience
  • Up to 2 years of experience in a phone-based, customer service, collections, or data entry role with similar responsibilities.
Education
  • High School Diploma or equivalent required.
  • Vocational/technical training or Associate degree in a related field preferred.
  • Relevant certifications are a plus.
Work Schedule Options
Preferred Option
  • 4-day workweek (10‑hour shifts).
  • 7:00 AM – 6:00 PM or 8:00 AM – 7:00 PM.
  • Weekends off.
  • One midweek day off (Tuesday, Wednesday, or Thursday).
Alternative Option
  • 5-day workweek (8‑hour shifts).
  • Weekends off.
Training & Onboarding
  • UBK Training: 2 days, conducted in person.
  • Team Training: First day in person; remaining sessions remote.
  • Structured onboarding with continued support from team leads and peers.
Location
  • Remote position with one required in‑office day per month (pre‑selected date). Hybrid and fully in‑office options are available.
