  • Escalate delayed, denied, or unclear HOA requests to the Hiring Manager.

Over its 25-year history, Amherst has developed a deep bench of research and technology talent, and leverages data and analytics at every stage in the asset lifecycle to improve operations and preserve long-term value for our investors and the more than 188,000 residents the firm has served.Key ObjectivesMonitor the designated email inbox for incoming HOA requests, approval notices, denials, requests for additional documentation, and status updates.Record new HOA requests and approvals in the appropriate tracker or internal system.Track the status of HOA submissions, including the submission date, responsible party, requested work, follow-up date, approval status, approval conditions, and expiration date, when applicable.Follow up on outstanding HOA requests and approvals to help prevent construction or project delays.Route HOA approvals and related correspondence to the appropriate Construction Superintendent, Property Management representative, contractor, or internal stakeholder.Escalate delayed, denied, incomplete, urgent, or unclear HOA requests to the Hiring Manager.Maintain organized documentation of applications, architectural requests, supporting materials, approvals, denials, conditions, and related correspondence.Maintain an accurate and current record of all assigned HOA and municipal code violations.Monitor approaching deadlines, overdue items, repeat notices, fines, and other escalation risks.Assist with confirming that corrective work has been completed and that appropriate proof has been submitted.Expected DeliverablesA complete and consistently maintained HOA and code violation tracker.A review and cleanup of the existing open-violation backlog assigned to the intern.A weekly report identifying open items, critical deadlines, overdue actions, and recently closed violations.A standardized intake and closeout checklist for HOA and code violation notices.An organized electronic documentation structure for each assigned property.An end-of-internship summary describing recurring violation trends, process gaps, resolution challenges, and recommended improvements.Required QualificationsCurrently pursuing a degree in Business Administration, Operations Management, Construction Management, Real Estate, Public Administration, or a related field.Strong organizational skills and attention to detail.Ability to manage multiple properties, deadlines, and follow-up items simultaneously.Ability to accurately review notices and identify addresses, dates, deadlines, required actions, and responsible parties.Strong written and verbal communication skills.Basic to intermediate proficiency with Microsoft Excel, Outlook, Teams, and Word.Ability and willingness to learn SharePoint, Salesforce, Yardi, and other internal systems.Ability to maintain accurate records and handle confidential or sensitive information appropriately.Strong follow-through, professional judgment, and willingness to escalate urgent or unclear matters.Ability to work independently while also requesting guidance when necessary.Advanced English proficiency, with a preferred level of B2 or higher.Fluent or professional-level Spanish proficiency.Previous exposure to property management, construction, real estate, compliance, customer service, or administrative coordination is preferred but not required.Our full-time employee benefits include:A competitive and comprehensive benefits package.
