Job summary

The Behavior Lab in Yucaipa, CA is seeking an Intake Manager to lead the full client intake lifecycle—from inquiry through onboarding and offboarding. You will oversee the Intake Team, ensure timely communication, accurate documentation, and compliant processes while driving efficiency and a positive family experience.

Qualifications

• Bachelor's degree preferred
• 2–5 years in related field; 3–5 years preferred
• Leadership, intake, operations, healthcare, or customer service experience preferred
• Strong problem-solving and decision-making abilities
• Excellent communication and relationship-building skills
• Highly organized with strong project/time-management skills
• Ability to work independently while keeping leadership informed
• Comfortable in a fast-paced environment with changing priorities
• Proficiency with Google Workspace (Docs, Sheets, Slides, Calendar, Gmail)
• Ability to coach, motivate, and develop a team with clear expectations

Responsibilities

• Lead, support, and provide daily oversight to the Intake Team
• Oversee the complete client lifecycle: inquiries, onboarding, transitions, offboarding
• Ensure timely family follow-up and compassionate communication throughout intake
• Monitor documents, onboarding, logs, funder documentation for accuracy
• Conduct quality assurance audits and maintain client records
• Serve as escalation point for complex family concerns and intake issues
• Maintain and improve Intake SOPs, workflows, systems
• Track intake KPIs: inquiry trends, conversion, engagement, outreach
• Identify barriers to starting services and develop solutions
• Collaborate with Clinical, Billing, People Ops, Marketing and other departments
• Support community outreach and family engagement initiatives
• Coach and develop Intake Team with accountability
